Job overview

To provide a comprehensive secretarial service to the Consultant Radiologists and Radiology Management team and their support staff. Ensuring a high level of customer care whilst always maintaining confidentiality.

Main duties of the job

As part of the South Cumbria Diagnostic Imaging Network ELHT is committed to providing Safe, Personal and Effective Care. the post holder will support the Consultant Radiologists in producing diagnostic imaging reports, utilising the RIS, PACS or alternatives in the event of system failures. This includes direct reporting shorthand and audio typing. 

Support the Radiology management team with tracking of waiting lists and contribute to the effective distribution of Radiology reports to referrers, secretaries, and GPs.

The post holder will liaise with patients, clinicians, Radiology staff and other service users to ensure the patient pathway is efficient and robust, dealing effectively with any queries that may arise.

Detailed job description and main responsibilities

  • Prioritise workload to enable the efficient workflow of the Radiology secretarial services.
  • Support the Consultant Radiologists in producing diagnostic imaging reports, utilising the RIS, PACS or alternatives in the event of system failures. This includes direct reporting shorthand and audio typing.
  • Typing, printing and distribution of the diagnostic report to the referring clinician or department as determined by service level agreements.
  • Type basic Radiology reports using the digital dictation system within the RIS or PACS.
  • Support the Radiology management team with tracking of waiting lists.
  • Type letters from the Winscribe system.
  • Type invoices and letters relating to the legal department and keep up to date records and files for legal purposes. Informing the finance department of private and category II patients for purposes of recovering the appropriate hospital fees. Dealing with private and category II patients as necessary and liaising with the relevant clinical staff.
  • Ensure verification prior to dispatch of reports to referring clinicians.
  • Contribute to the effective distribution of Radiology reports to referrers, secretaries, and GPs.
  • Liaise with patients, clinicians, Radiology staff and other service users to ensure the patient pathway is efficient and robust, dealing effectively with any queries that may arise.
  • Keep Consultants’ diaries in respect of holidays/study leave and meetings, informing relevant personnel are informed, and lists adjusted accordingly.
  • Exercise independent judgement and initiative when problems arise by taking appropriate actions to resolve problems or by escalating to the appropriate person.
  • Communicate urgent reports to appropriate clinicians in line with departmental protocols.
  • Open and sort consultants’ mail, shorthand and typing for the Directorate in respect of general correspondence.
  • Book hotel reservations and travel in respect of courses attended by the Radiologists and deal with subsequent travel claims.
  • Carry out housekeeping duties on the RIS and PACS under the guidance of the RIS/PACS management team to ensure the patients records are correct and reports are processed efficiently and safely.
  • Validate waiting lists to ensure that patient records are correct, patients progress through the pathway and reports are processed efficiently and safely.
  • Prepare agendas, attend meetings, and produce minutes of the same, assist with the preparation of papers and articles for publication and/or meetings.
  • Monitor, co-ordinate and manage seminar/student rooms’ usage for meetings.
  • Contribute to the smooth running of the department by carrying out other clerical tasks under the supervision or the Radiology Administration Manager.
  • Participate as necessary in quality assurance and clinical audit programmes.
  • Maintain confidentiality of information always relating to patients and colleagues.
  • Asist with training of new secretarial staff to the department.

Qualifications

Essential criteria
  • GCSE English Language at grade C or above (or equivalent qualification)
Desirable criteria
  • NVQ Customer Care

Experience

Essential criteria
  • Ability to understand, absorb and comply with procedures and make use of own judgement in cases of importance.
  • Keyboard and audio-typing skills
  • Clear understanding and ability to input date and information accurately
  • Precise with detail and data collection.
  • Experience of accessing the internet and email systems.
Desirable criteria
  • Knowledge of EPR, RIS, PACS
