37.5 hours per week

We are looking for an experienced personal assistant who is a strong team player and highly organised to join the Corporate Secretariat working for the Trust's Executive Directors.  The individual must have the  ability to communicate effectively and professionally with a wide range people both within and outside of the Trust; be able to prioritise their own workload; work swiftly under pressure and work with members of the team to ensure cross cover for holidays and other absences.  Main duties will include formal minute taking,  arranging meetings / diary management of Executive diaries and ensuring a comprehensive and efficient administrative service is provided at all times.   

 

 

 

 

Main duties of the job

To provide a comprehensive  personal assistant service to the Chief Nurse and Deputy Chief Nurse in delivering their responsibilities.  

To create and maintain effective working relationships at all levels, internal and external to the Trust, including the Local Authority (TMBC), across Greater Manchester and other organisations such as NHSI and NHSE, NMC/GMC etc

Detailed job description and main responsibilities

 

    Provide a comprehensive secretarial/administrative support and assisting with the management of their time and workload

·  To be the first point of contact and deal with queries and messages confidently and sensitively, taking appropriate actions and ensuring confidentiality at all times

·      Support development of new ways of working that deliver Trust objectives

·      Supporting the Chief Nurse relies upon close team working with other PAs in the system, including those supporting the Executive Team and the operational and clinical teams

·       The postholder will provide support specific work programmes eg. CQC, safer staffing, NMC requirements and ensure effective administrative process are in place to support ongoing registration in line with the CQC and regulatory bodies.

·        The postholder will act as administrator, co-ordinator and servicing officer for a range of sub-committee meetings, distributing agenda and taking minutes. 

T    The postholder must have the ability to provide support and manage multiple diaries, prioritising meetings/appointments, as necessary, ensuring the Director(s) has sufficient work/reflective time.

Qualifications

Essential criteria
  • Secretarial/Admin Qualification, such as BTEC or NVQ4 (or extensive experience of Secretarial/admin procedures working at Executive Director or senior manager level)
  • RSA III Word-processing (or equivalent)
  • ECDL or equivalent
  • Evidence of Continuous Professional Development

Experience

Essential criteria
  • Substantial experience working as a PA/secretary at Executive Director or senior manager level and delivering the key result areas described in the job description.
  • Extensive experience of working with senior level staff and in managing confidential issues and matters.
  • Experience of formal minute taking
  • Demonstrable experience of dealing with matters of a highly sensitive nature in a competent and aware manner.
  • Experience of drafting/preparing letters on behalf of senior staff.
Desirable criteria
  • Previous experience in the NHS or equivalent public sector organisation
