We are looking for an enthusiastic team member to join the Medical Education Department here at Tameside & Glossop Integrated Care NHS Foundation Trust.   Joining a small but dedicated team and forming part of the wider Learning and Education Service, the post holder will report to the Medical Education Manager and will work closely with the Medical Education Team to offer a high standard of administrative support specifically for the our Doctors in Training and their programmes.

 

The post holder will be responsible for all aspects of the administration and coordination of all our Doctors in Training Rotations. The post holder will work closely with the Specialty Training Leads based here in the Trust as well as our external partners, NHS England Northwest and the Lead Employer, Mersey and West Lancashire Teaching Hospitals NHS Trust.  You will administrate the process of their rotations, supported by their Induction Programmes as well as organizing their teaching and other pastoral and administrative support as is required.

 

The successful candidate will be an excellent communicator, highly organised with excellent attention to detail and will work with the medical education team, trust colleagues within all the specialties and our external education partners to provide the highest standards of educational administration across the trust. 

 

The hours will be 37.5 hours per week with some degree of flexibility

 The post holder will work directly with the doctors in training and support their clinical placements and recording and coordinating their rotational placements.  This will involve keeping accurate data tracking for their posts and working collaboratively with all the Specialties they are placed into.  As there is a high degree of data accuracy, attention to detail and maintaining databases are a key part of the role. A strong communicator who is confident and can communicate well with a broad range of colleagues and external stakeholders, demonstrating excellent interpersonal skills in order to support the Doctors in Training work streams.  With an eye for detail and problem-solving skills and working alongside a great Medical Education Team, this is an exciting opportunity to develop and enhance your career.  Overall, the Doctors in Training Administrator role is crucial for supporting the next generation of doctors within the NHS. It's a role that requires excellent organization, communication, and provides the post holder with a role that is vital to improving the working lives of our Doctors in Training.

Main Responsibilities

·         Develop and facilitate appropriate induction programmes for Specialty trainees on placement at T&GICFT ensuring they have all the necessary training, information and relevant access to systems and places to commence their placement.

·         Continually evaluate and improve the induction process for future cohorts.

·         Actively seek out new clinicians across the trust to participate in and support the Specialty trainees programme.

·         Monitor and evaluate placements to maximise opportunities and create solutions for placement shortages.

·         Working with the Specialty Leads, devise, implement, monitor, review and continually develop placements and content for Specialty trainees working within the trust.

·         Arrange additional clinics/sessions/learning experiences to complement their rotations and fixed programmes.

·         To coordinate and provide administrative support to the Junior Doctors Forums.

·         To support the Less Than Full Time/SuppoRTT Champion

·         Working with the Medical Education Manager, fully support the Quality Assurance and Assessment process for ST’s ensuring evidence is robust and accessible.

·         Working closely with all levels of clinical staff plan and produce timetables ensuring each ST has a named Educational Supervisor and a full timetable of activity and learning opportunities.

·         Support and provide guidance to ST’s around completion of portfolios, monitor attendance, monitor progress, provide encouragement and support where difficulties are encountered referring to the ST Lead where appropriate.

·         Liaise with NHSE NW around placement information and future plans for ST’s within the trust.

·         Attend and contribute to discussion and produce reports/papers for the Medical Education Manager and Key Stakeholders as required.

·         Attend and contribute to the Medical Education Committee/Administration meetings as required ensuring updates and progress are shared with the relevant people.

·         Organise ad hoc tutorials for the ST’s during their placements at the trust and arrange for appropriate facilitators to assist with these.

·         In liaison with the Medical Education Manager, communicate with NHS England NW on a regular basis keeping up to date with changes and developments in the ST Programmes.

·         Be a strong advocate for the ST’s promoting their success and value to the trust and the workforce agenda.

·         Support and signpost the ST’s regarding pastoral care.  Provide initial guidance regarding academic, personal and health related problems during their placement at the trust.

·         Where poor performance or attendance is an issue refer to the ST Lead and / or NHSE NW as appropriate maintaining strict confidentiality at all times.

Qualifications/Experience/Skills

  • A level standard or equivalent experience ECDL or equivalent
  • NVQ Level 3 in Business Administration (or equivalent)
  • Working in a training or educational environment
