Job overview

We have an exciting opportunity for an experienced Administrator to join our East Sussex School Health Service team.  

We support children and families in East Sussex focusing on promoting and protecting the health and wellbeing of our population. We provide advice, support and signposting on healthy lifestyles, emotional health and wellbeing, puberty and growing up, sleep, long term health conditions and sexual health.

Band 2 administrators are responsible for providing administration support to a service, project or system, ensuring that patients and the public experience the service as caring, patient focussed efficient and 
effective. 

Main duties of the job

As an Administrative Assistant you will ensure that your own administration responsibilities are undertaken effectively and efficiently to 
enhance patient care by following appropriate systems and processes and ensuring tasks are completed to a high quality in a timely way. 

You will make sure patients are able to attend or receive services by arranging future appointments and arranging transport etc and ensure patients have confidence in how the Trust keeps their information confidential and accurate by carefully inputting and updating as required using appropriate computerised systems.

In addition, you will carry out reception duties which includes welcoming patients into the clinic, answering telephone and email enquiries, upkeep of reception area, logging estates issues and receiving and disseminating post.

Qualifications

Essential criteria
  • Educated to level 2 or GCSE equivalent, with good basic education including English and Maths.

Experience

Essential criteria
  • Excellent keyboard skills Excellent computing skills to include Microsoft Office email and internet use.
Desirable criteria
  • Working knowledge of a patient information system

KNOWLEDGE

Essential criteria
  • Competent in administration tasks, basic diary management and previous use and understanding of data bases and reporting.

Skills

Essential criteria
  • Good written communication skills, Good inter-personal skills and the ability to communicate and work with people from different backgrounds at all levels of seniority. Ability to take notes action points and minutes at meetings. Able to follow instructions and work to given deadlines Ability to work independently and as part of a team. Ability to deal compassionately with distressed and upset members of the public
