Healthcare Records Section Manager

Job overview

The Health Records Department consists of six core services based over three sites, and serves all Directorates and our patients. In this role you will provide leadership and expertise within a specialised subject in one or more of the Health Records core (section) services these are: Subject Access Request, Data Cleansing, Digital Services, Library, Outpatient Preparation and Outpatient Reception.

We are a dynamic diverse team of over one hundred staff, where patients and records always come first. We maintain a large library of over one million patient records to a high standard, from creation, scanning, validation, to destruction and everything in-between. 

Our team are enthusiastic and supportive of removing the need for paper, and have accepted the huge challenge of scanning all paper records so they are available at the point of care for our patients.

At present we have the following vacancies at our sites: 

Health records

    • Full time position: 37.5 hours per week (this will include Saturday working on a rota system, working pattern will not exceed a 5-day working week) 

OR

    • Part time: Hours to be discussed (this may include Saturday working on a rota system, working pattern will not exceed a 5-day working week) 

Main duties of the job

Full details of the main duties are provided in the job description.

  • To be a subject matter (Data Cleansing) expert within Healthcare Records, to use the knowledge to guide, problem solve and implement service improvements.
  • To ensure compliance/requirements within the core services of Healthcare Records related statutory regulations and that legislation relating to the retention, preservation, and destruction of clinical records and associated documents and all other requirements are adhered to by all staff.
  • To assist in projects relating to the core services of Healthcare Records and implementation of standards relating to Healthcare Records practices, policies and procedures and, in particular, those relating to the implementation of the Electronic Patient Record (EPR) and Electronic Document Management (EDM).

You will require: 

  • Attention to detail, with the ability to deal with complex information
  • Excellent staff management and supervision
  • Ability to deliver training and presentations to a wide range of trust staff at all levels
  • Problem solving skills and ability to respond to sudden unexpected demands
  • Ability to identify problems and inconsistencies with systems and processes, producing workable solutions
  • Demonstrates a “can do” approach to work.

The work can require manual handling duties (lifting boxes up to 9kg) and be mentally demanding.

Essential criteria
  • Education to degree level
  • NVQ 5 in customer services or administration or equivalent experience.
Desirable criteria
  • Project Management

Experience/Knowledge

Essential criteria
  • Excellent staff management and supervision
  • Ability to deliver training and presentations to a wide range of trust staff at all levels
  • Competency in the use of Microsoft office application to an advanced level
  • Data Protection Act and Information Governance regulations
