Job overview

The Neurology Service provides access for patients with neurological conditions to therapy.


•    The post holder would provide all administrative duties for the Service, ensuring that all patient appointments and admissions are dealt with efficiently utilising appropriate trust electronic systems   
•    The post holder is responsible for providing an efficient, organised clerical service to the Team, including ensuring that all necessary medical records are available to them for the relevant patient admissions
•    Work collaboratively with all members of the multi-disciplinary team (MDT) to meet the needs of patients and their families
•    The post holder must also assist in the collection, organisation and input of relevant patient data into the local and national biologics registry/database, working in collaboration with the wider MDT to ensure that adequate accurate records are kept
•    Monitor patient blood test compliance in order for patient to receive therapy 
•    Provide administrative support and co-ordinate the monthly biologics Team meeting 
•    Undertaking with the Team, both formal and informal review of the success and the development of this post within the team.

Main duties of the job

  • To compile bloods due for prescriptions in the upcoming weeks for nurses to check
  • Print and prepare prescriptions for consultants to sign – then prepare prescriptions once signed to go to pharmacy
  • Prepare Ocrevus proformas to be signed and to go to pharmacy once signed.
  • Update spreadsheets and keep track of caseloads
  • Compile data/numbers when needed for presentations and business meetings for nurses (re medway meeting/meeting with consultants/meeting with management)
  • Communicate with patients re bloods (send blood forms when needed)
  • Make sure MRIs are requested in right amount of time and done when required (send to nurses to be requested)
  • Communicate with patients re non clinical queries – prescription queries, worries about bloods, sending blood results, general enquiries not clinical
  • Add patients to caseload spreadsheets/ DMT spreadsheet
  • Access BLUETEQ when necessary.
  • Complete co-morbidity sheets for Ocrevus patients
  • Complete registration prescription forms for the nurses when needed if they do not have time/are busy.
  • Keep the pharmacy spreadsheet updated and keep on track with prescriptions.
  • Scanning documents onto e-notes
  • IEP radiology requests and transfer forms
  • Keeping an eye on MRI reports for the nurses

  • Good standard of general education or equivalent experience
  • Good level of written and spoken English

Experience and Knowledge

  • Competent using Microsoft Office Packages
  • Knowledge of Patient Centre or similar systems
  • Waiting list experience
  • Audio typing experience
Desirable criteria
  • Knowledge of Trust Access Policy
  • Awareness of National Patient Access targets
  • Excel spreadsheet

Skills

Essential criteria
  • Computer literate as well as good keyboard skills
  • Customer care experience
  • Excellent telephone manner
  • Proven experience of unsupervised administrative work in a busy office environment
