Job overview
The role of EFM Administrator is to provide a high quality, professional administration service to the Estates and Facilities Management Directorate (EFM). Duties will include raising and receiving purchase orders, diary management and minute taking, data input, customer liaison, covering the responsibilities of admin team colleagues during absence periods, and providing miscellaneous admin support to the wider EFM Team.

Main duties of the job
- High-level communications with services across Trust, leading by example to model
customer-focused behaviors. - Responsible for communicating with individuals and the EFM teams regularly.
- Will use Excel or Word to prepare documents as appropriate. Formatting of
spreadsheets using basic MS Excel skills - Maintaining records and inputting new data on CAFM systems (MiCAD/Ivanti).
- Organising and tracking maintenance repairs and reporting faults.

Qualifications
Essential criteria
- GCSE in Maths and English or equivalent
Desirable criteria
- Educated to NVQ level 3 / RSA3 or equivalent
Experience
Essential criteria
- Previous paid employment or administrative/office work for minimum of 2 years
- Previous employment in a customer facing role
Desirable criteria
- Working in and for a team
Knowledge & Skills
Essential criteria
- Minimum basic Excel setting up of spreadsheets and updating for reports
- Preparation of documents to high quality using Word
- Use of Outlook for updating of calendar and appointments
- Prioritisation and organisation of work and ability to meet deadlines
- Accuracy and attention to detail
Desirable criteria
- Intermediate level Excel application of basic formulas and exception reporting
