Job overview

An exciting opportunity has arisen to join the Temporary Staffing Team at Dartford & Gravesham NHS Trust as a Senior Bookings Coordinator.

The post holder will be part of a thriving team that ensures the provision of an efficient and effective temporary staffing service within the Trust, as per our temporary staffing policy. You will need to be customer orientated and a committed individual who enjoys providing a first class service to managers, candidates and staff. The role requires an individual who has excel knowledge, good customer service and telephone manners. This is a varied role where no two days are the same, working within a fun team that is full of activity.

This position will not be supported for visa sponsorship.  All applicants are expected to have valid right to work document to work in the UK when applying for this position.

Main duties of the job

Based at Darent Valley Hospital, the postholder will work to support the Temporary Staffing Team Lead in the delivery of a timely, efficient and cost effective temporary staffing booking service for all staff groups across the Trust.

They will work to provide a professional Temporary Staffing Service to the Trust, ensuring that all bookings comply with current booking procedures and protocols, NHS Employers and NHSE/I requirements and national best practice. They will liaise with employment agencies on a regular basis, negotiating rates so as to ensure the Trust receives good value for money in the booking of temporary staff.

They will assist the Temporary Staffing Team leader in the monitoring, collation and reporting of temporary staffing data for the Trust, as and when required. They will work to develop / amend reports in order to meet Trust requirements.

To develop and maintain effective professional working relationships with bank workers, and internal and external colleagues.

To work flexibly, participating in a shift rota system to ensure the service will be adequately covered during weekends and bank holidays.

Detailed job description and main responsibilities

Professional Responsibilities:

The post holder will be responsible for building and maintaining relationships within the Trust and be able to demonstrate the ability to take personal accountability for own workload.

Working closely with the Temporary Staffing Co-Ordinators and Temporary Staffing Lead to deliver an efficient service to all of the divisions for their temporary staffing needs.

To receive visitors to the office in a professional manner (internal and external to the Trust), ensuring they are given accurate information/ documentation as requested, or refer them to the appropriate person/department.

To assist with timesheet approvals for all of the agency workers, including liaising with the wards to confirm hours worked and approving the hours on the portals used.

Dealing with simple pay queries from agency workers and escalating to the Temporary Staffing Lead as required.

To work closely with Ward and Department Managers for all staff groups in order to understand the requirements of each area and ensure appropriate staffing is matched to booking requests whilst complying with legislation, Trust policies and procedures and best practice.

In conjunction with the Temporary Staffing Team Lead the post holder will coordinate training internally for new members of staff using the Bank system and develop individualised teaching programmes as required. Before they are added on to the bank.

Arranging ward inductions for new clinical bank staff.

Ensuring all mandatory training and compliance is completed for new bank staff.

Ensuring all new bank staff have their correct badges and uniforms, sending over any information required to support this.

Verify ID in line with Trust policies and current legislation.

Education and Training

Essential criteria
  • Good standard of education including Maths and English
  • NVQ level 4 or equivalent
  • Commitment to CPD
Desirable criteria
  • ECDL or equivalent

Experience

Essential criteria
  • Strong, previous experience of working in administration
  • Experience of using administration and clerical systems
  • Effectively utilising the Microsoft office suite within a work environment, with a key focus on Excel, and Outlook.
  • Effectively working within a fast paced customer service focused office environment
  • Shortlisting and participation on selection interview panels.
  • Effectively planning / organising / prioritising own and team’s work to meet deadlines.
Desirable criteria
  • Recent experience of working within the NHS.
  • Knowledge of Allocate systems
  • Fully utilising Temporary Staffing systems and administering / enforcing controls.
