We are looking for a dedicated, enthusiastic and dynamic individual to join our Antenatal Admin team. Working closely with our teams of obstetricians and midwives, the post holder will play a vital role in helping to provide the best possible service and outcomes for women and their families.
The Antenatal Admin Team at EKHUFT plays a vital role in supporting the smooth-running of the antenatal pathway for women in East Kent.
Process antenatal clinic referrals on Sunrise and schedule appointments on Allscripts within required timescales, escalating to consultant and / or line manager where timescales cannot be met.
Main duties of the job
Liaise with Obstetric Ultrasound Admin Team to ensure scans are scheduled in time for consultant antenatal appointments where applicable.
Collect, track and prep medical records for clinics.
Reception clinic; welcome patients and record attendances. Ensure all outcomes are recorded on Allscripts and schedule any follow up appointments required.
Track and return medical records to file in a timely manner.
Liaise with the VBAC midwives and schedule appointments for their clinics.
Contact patients by telephone to book / cancel / reschedule appointments at short notice.
Discharge patients on Allscripts after birth. File the handheld maternity notes into the medical record.
File all patient information accurately and securely within the medical record in a timely manner in accordance with Trust policy.
Liaise with Women’s Health Suite and Early Pregnancy Unit to ensure that future appointments / referrals for patients who have miscarried are cancelled.
Collect medical records from Early Pregnancy Unit and file appropriately.
Ensure generic email inbox is managed and enquiries are responded to and requests are actioned daily.
Answer the telephone in a courteous and timely manner.
Work as part of the team to ensure all tasks are completed.
Support colleagues by prioritising tasks and working together.

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
