Job overview

Provide comprehensive administrative, clerical and audio typing support to Community Child Health clinicians providing our LAC (Looked After Children) and Adoption Service, as requested and appropriate.

As a first point of contact for the LAC/Adoption Service provided by Community Child Health within East Kent Hospitals and deal effectively and courteously with all enquiries from Social Services, GPs, patients, other departments within the Trust and all other service users.

Process all LAC/Adoption requests for initial and review health assessments in accordance with Trust processes and procedures. Liaise with prospective adopters regarding appointments with medical advisor for Adoption.

 

Main duties of the job

Process Adult Health Forms (AH) for completion by Medical Advisor ensuring processed to comply with time scales/deadlines for Panel dates.

Transcribe from audio or copy type as appropriate, all clinic letters and other correspondence as required, ensuring that layout, spelling, grammar and punctuation is consistent.

Maintain a filing system that facilitates the effective running of the department.

Attend meetings as requested, taking notes if necessary.

Maintain LAC & Adoption Standard Operating Procedures for department.

Organise own work schedule, adapt the schedule as required to meet commitments to others within the agreed timescales and where this is not achievable, give notification promptly, with reasons, to line manager.

Provide support to other members of the secretarial and admin team, providing cross-cover during periods of annual leave and sickness as required.

Make appointments as appropriate, in line with government and local targets and in line with the Trusts Patient Access Policy. Where this is not achievable give notification promptly to line manager.

Undertake other clerical duties to ensure the smooth running of the office, answering telephone calls, and dealing with enquiries, redirecting and relaying information as and when necessary and directed by the Office Manager.

Work as a member of a team to provide high quality administration support, developing effective working relationships with other members of the Trust.
