Job overview

An opportunity has arisen for a Reception/Outpatient Administrator to join the Trust's Community Mental Health Services Team, based in Hitchin. 

The successful candidate will contribute to the provision of a comprehensive, efficient and effective administrative service. They will support the team leaders and the clinical staff with day to day administration tasks, including booking clinic appointments, diary administration, room bookings and on-going database management. The role includes appointeeship monies/food vouchers for service users.  

To work alongside the current outpatient receptionist in dealing with service users and visitors to HPFT at front of house reception, on a daily basis.  The post holder will be required to work independently using their own initiative but be part of a larger admin team and provide support to the wider MDT on an ad-hoc basis, including procurement of goods for the unit and keeping check on stocks.

Applicants should be able to demonstrate the ability to work well within a team, prioritise and manage own workload and display initiative whilst maintaining a positive, professional and calm approach.

Applicants must demonstrate excellent IT skills, a good working knowledge of Microsoft Office applications and accurate typing is essential. This is a busy a varied role responsible for all aspects of administration and will involve face to face service user contact so good interpersonal skills are required.

Main duties of the job

Day to day administration tasks, including  booking SU clinic appointments, diary administration, room bookings and on-going database management (Paris).

The successful candidate will:

  • order and maintain stationary and other items

  • to relay confidential, sensitive information to colleagues and outside agencies, in person or on the telephone.

The Post holder will be based on the main reception desk in the Adult Community Team at Centenary House, Hitchin, where they will be expected to carry out general reception duties, including handing out security alarms and keys, Checking ID from Visitors and staff, scanning and filing documents, answering telephones,  Dealing with visitors, contractors and other professionals, keeping the reception desk well managed and organised,

HPFT places great emphasis on providing the highest standard of customer service to our services users, carers and visitors. The post holder must be able to demonstrate they possess excellent customer service skills incorporating the Trusts values when carrying out their duties.

 The post holder will be provided with a uniform which must be worn when on duty in line with the dress Code and Uniform (Work wear) Policy

The Receptionist offers a comprehensive service within a busy and often demanding environment so candidates will need to be confident and adaptable to change.

Qualifications

Essential criteria
  • A good standard of education to secondary level.
  • Substantive experience of working in an office environment.
  • NVQ3/RSA3 OR equivalent experience.
  • European Computer Driving Licence or equivalent.

Previous Experience

Essential criteria
  • Microsoft Word Packages.
  • Ability to organise and prioritise own workload.
  • To be proficient in diary management
  • Proficient in email management.
  • Maintain a filing system, both paper and computerised systems.

Skills

  • To make judgements, without direct supervision, as to the importance/urgency of workload issues
