Job overview

This is the perfect opportunity for someone seeking a new challenge in a dynamic and rewarding environment where no two days are the same. Working hours involve shifts, including some nights, weekends and bank holidays.

As the first point of contact for visitors to the site/building the post holder is responsible for conveying the correct impression for the whole of the Trust.

Main duties of the job

The post holder will:

  • Be able to work one of the required shift patterns (i.e., Early shift – 6:00 am to 2:15pm; Late shift – 2:00pm to 10:15pm; Night shift 10:00pm to 6:15am)
  • Meet and greet all visitors to the site as the first point of contact. Maintain a log of staff and visitors entering and leaving the building.
  • Undertake switchboard duties, dealing courteously with all incoming telephone calls routing as appropriate and taking messages when necessary.
  • Dealing with enquiries as appropriate. 
  • Sort and distribute incoming mail and outgoing mail (external and internal) as appropriate.
  • To maintain system for the booking of rooms and ensure the room are used as efficiently as possible.
  • Photocopy, scan, fax, email or archive documents as required.
  • To act as Fire Marshall, including completion of evacuation register in the event of fire or practice evacuation to ensure the safe evacuation of the building and directing fire brigade on arrival.
  • To report and ensure equipment and environment faults are dealt with by relevant persons.
  • Complete typing and other administration tasks as required.
  • Organise patient transport for discharge, appointments, admissions
  • To plan and update the Control Room diary as and when necessary.
  • Carry out any such delegated clerical and administrative tasks as required, bearing in mind that this job description may change in line with service developments at the discretion of the Line Manager.

Qualifications

Essential criteria
  • Basic IT skills, good literacy and numeracy
Desirable criteria
  • RSA 2 Typing or equivalent
  • NVQ2 in Business Administration or willingness to work towards
  • Educated to ECDL level or willing to undertake qualification within an agreed timescale.

Experience

Essential criteria
  • Previous general office/clerical experience.
Desirable criteria
  • Clerical experience with a Health Service setting

Skills

Essential criteria
  • Good interpersonal skills, the ability to observe confidentiality
  • Ability to deal with the general public
  • Able to work unsupervised and also as part of a team.
Desirable criteria
  • To be proficient in diary management.
  • Proficient in email management.
