This is an exciting role within the Workforce Systems Team which offers the opportunity to ensure the Trust delivers safe staffing, excellent patient care, workforce planning and providing excellent customer service whilst supporting 14k+ staff users.

We need an approachable, analytical, quick thinking and well organised individual with excellent interpersonal communication skills who can work within a challenging, dynamic and fast moving environment with critical deadlines.  An ability to build relationships with key internal and external stakeholders is essential.

An individual who is proficient in maintaining, supporting and developing workforce IT systems including contracting, human resource systems, databases, payroll, rostering and learning management systems with their associated processes is required. There will also be opportunities for project management, presentations and building reports.

YOUR RESPONSIBILITIES - WHAT YOU WILL DO

The key deliverables of the Workforce Systems Facilitator role are to support all staff, internal and external stakeholders by:

•    Providing customer and  technical support to tight deadlines as well as specialist technical and process/systems advice in a customer facing manner
•    Meeting the needs of systems, process, governance and user support in a busy customer facing environment
•    Drive forward and maintain high levels of data quality and analysis, including internal and external reporting, interpret and deliver our objectives in partnership with our customers
•    Query handling and general support to our customers, partners and supplier
•    Develop and maintain user and training documentation and deliver high communications;
•    Leading and supporting on a number of new and on-going projects in the team
•    Systems testing and maintenance
•    Systems and linkage to payroll and all staff systems interfaces


WHAT WE ARE LOOKING FOR

The successful candidate will have: 
•    Advanced customer facing skills and an enthusiasm for working collaboratively with others
•    Extensive experience providing systems and post rollout support for IT systems and processes
•    Extensive relevant experience in customer support for existing workforce IT systems in the trust
•    Experience in gathering and analysing information
•    Proficient in the use of Excel and other Microsoft Suite applications
•    The ability to communicate highly complex information clearly at all levels both written and verbally
•    A flexible and organised approach with a proven ability to work to deadlines, prioritise and multi-task, seeking advice and escalating issues where appropriate

Please note that competence and experience with the UHS Workforce systems, databases, information analysis tools and the learning management systems are essential for this role, as well as proven systems support experience in a customer facing environment.

Qualifications / training required

  • Degree in mathematics, computing or information field or equivalent relevant proven knowledge and work based experience
  • Minimum of 3 GCEs level C or higher including Mathematics and English Language
  • Evidence of sustained and continued learning/professional development

  • Recognised computing, project management, ITIL or customer service qualification

Previous or relevant experience necessary

  • Proficient use of electronic contracting and human resources systems / databases, as systems’ administrator/manager, including system configuration and significant knowledge of back end processes
  • Proficient use of Learning Management Systems, as systems’ administrator/manager, including system configuration and significant knowledge of back end processes
  • Proficient use of Rostering systems, including rostering system’s interfaces with other applications, , as systems’ administrator/manager, including system configuration and significant knowledge of back end processes
  • Proven customer facing support delivery, including via helpdesk, in a large complex organisation
  • Proven experience of working to demanding and competing timetables with proven track record of meeting deadlines
  • Providing IT Support and after implementation support
  • Gathering, interpreting and mapping customer requirements to available systems
  • Understanding of the principles of good communications, freedom of information and data protection legislation and FOI requests handling
  • Proven experience of successful implementation of processes to manage and improve service and data quality
  • Evidence of presenting complex information to internal and external groups in an understandable way
