Main duties of the job

We have an exciting opportunity for a Outpatient Coordinator to join our dynamic and friendly team in Trauma & Orthopaedic team at University Hospital Southampton NHS Foundation Trust (UHS).

We are looking for enthusiastic individuals with great attention to detail, you will have excellent communication skills both written and verbal. You will be able to work independently and as part of a team and have good organisation skills.

Detailed job description and main responsibilities

What you’ll do 

Develop a detailed understanding of outpatient clinic capacity and clinic template design, sharing this knowledge with a range of colleagues to ensure appropriate booking of appointments.

Identify and implement actions to improve the outpatient service delivered, working proactively, but under guidance from the Access and Operations Manager and in liaison with others (such as Patient Support Centre, Consultants, Outpatient Nursing Team, and Transformation Team).

Responsible for maintaining and maximising, the utilisation of outpatient capacity including maintaining monitoring systems and producing ad hoc reports. Be responsible for the smooth running of the patient journey (focusing on the outpatient element) by ensuring that coordinated and streamlined administrative processes revolve around the patient and their individual needs. 

Provide cross-cover for other Team Leaders within the Division to ensure a consistent and effective administration service is maintained at all times. 

Helping Access Manager with Patient Pathway Coordinator’s annual appraisals. 

Act as care group representative in regard to the planning, organisation and delivery of WNC outpatient services.

To deputise for the Access Manager as required on an ad-hoc basis e.g. cover for sickness absence, working more widely with the divisional management team and outside agencies, attending meetings on behalf of the Access Manager and fulfilling the main functions of the Access Manager. 

What we’re looking for 

Patient Administration System trained e.g. (E-Camis).

Proficient in the use of Microsoft Word and Excel.

Excellent working knowledge of outpatient’s systems and relevant healthcare procedures.

Experience of dealing with non-routine and complex problems, progress chasing, resources and staff allocation. 

Ability to work under own initiative.

Organisational skills and ability to prioritise. 

Proven ability to work to deadlines, prioritise and multitask.

Qualifications / Training

Essential criteria
  • Educated to diploma level or possessing an equivalent level of experience, training and knowledge
  • Proficient in the use of Microsoft Word and Excel
  • Competent in IT systems
  • Patient Administration System trained e.g. (E-Camis)
Desirable criteria
  • Courses/further study attended to demonstrate evidence of personal development
  • Service Improvement training
  • European Computer Driving Licence (ECDL)
  • RSA 3
  • Knowledge of medical terminology

Previous or Relevant Experience

Essential criteria
  • Previous administration experience
  • Excellent working knowledge of outpatients systems and relevant healthcare procedures
  • Understanding of management of budgets/resources
  • Ability to analyse and interpret performance report information
  • Organisational knowledge of admin procedures and working processes
  • Awareness of health service policy in relation to access targets
  • Experience of dealing with non-routine and complex problems, progress chasing, resources and staff allocation
  • Knowledge of complex staff rosters
Desirable criteria
  • Experienced in Staff rostering
  • Previous involvement in implementing actions to change and improve services
