Job overview

We have an exciting opportunity for a part-time Medical Secretary Assistant post at Avon House, Tewkesbury.  There are 2 Consultants in the Later Life team and the post entails supporting the Medical Secretary in providing a full secretarial service. The working hours are Monday, Tuesday and Wednesday . 

You will ideally have secretarial experience and be accustomed to working in a high pressured yet friendly environment.

As a member of the secretarial team, you must possess an excellent work ethic with proven organisational and communication skills.

You will work as part of a committed supportive team and be able to deal confidently and professionally with colleagues, GP surgeries and patients, maintaining confidentiality at all times.

Main duties of the job

You should have a friendly, positive, problem solving approach, be self-motivated, willing to learn and enjoy using your own initiative, within the remit of the post. You will need to be an excellent team player with the ability to adapt to various tasks according to service needs. As well as good verbal, written and numerical skills, you must be able to prioritise and organise your own workload well, and be able to work effectively and efficiently.

You will be skilled in IT applications; including, Microsoft Outlook, Word and Excel and have excellent interpersonal and strong communications skills. You should be able to adapt to a busy changing environment and be able to work with people under pressure.

This post requires the post holder to be able to undertake all statutory and mandatory training and post holders must be able to undertake physical interventions. Fitness for physical intervention will be assessed by Occupational Health.

Detailed job description and main responsibilities

  • To work in close liaison with the PA/Medical Secretary to the Later Life Community Mental Health Consultant Team to provide a full confidential, administrative and secretarial service.
  • To communicate effectively to ensure the smooth running of the service and patient care pathway.
  • To project the professional image of the business through demonstrating excellent customer care in all activities.
  • To adopt a constantly flexible approach to ensure that all Consultant team objectives are completed efficiently and within given timescales.
  • To maintain confidentiality at all times.

  • Ability to travel around the locality as requested, independently and efficiently.
  • Able to attend and participate in all mandatory and statutory training events

QUALIFICATIONS

Essential criteria
  • GCSE level education or equivalent (Literacy & Numeracy)
  • OCR/RSA III, QCF/NVQ Level 2 Business Administration or equivalent.
Desirable criteria
  • Shorthand or minute taking
  • NVQ Level 3 in Admin or equivalent

LENGTH AND / OR NATURE OF EXPERIENCE

Essential criteria
  • Proven experience of unsupervised administrative work in a busy office environment
  • Previous experience of using software packages such as Microsoft Office i.e. Word, Excel, PowerPoint, Outlook
  • Experience of using appropriate systems to collect, collate and report data in an accurate format (Microsoft Excel, Word, Powerpoint)
  • Experience of Data Inputting and Retrieval
  • Use of transcription machines for typing of dictation
  • Experience of maintaining a comprehensive computerised filing system
  • Arrange and co-ordinate meetings and distribution of papers.
  • Accurate Message taking.

  • Agenda, minute taking experience
