Job overview

An exciting opportunity has arisen for a motivated, well organized, committed individual to join the Trauma and Orthopaedic Team. This role will be based in Gloucester Royal Hospital but will involve working across both sites.

The working hours will be Monday – Friday 8-4pm 

Trauma & Orthopaedics is a large specialty with 29 Consultant Surgeons who between them operate on emergency (Trauma) and elective (Orthopaedic) patients at Gloucestershire Royal and Cheltenham General Hospitals.

The successful candidate will join a highly-motivated and hard-working Team. We are looking for an individual who is able to work independently and as part of a team.  

Main duties of the job

The successful applicant will provide efficient rota cover whilst supervising the trauma triage team. You will also need to provide effective support service for a designated group of Managers, consultants and their patients, you will need to have excellent communication skills and be able to meet targets and deadlines. You will need to be able to work under pressure whilst making decisions for the service. Minimum 1 year working within the NHS with experience of working in a team. Minimum 6 months working within admissions / booking / patient access or a similar role with experience of TrakCare. 12 months previous experience of utilizing a range of interpersonal skills including verbal and written communication ECDL or equivalent.

Detailed job description and main responsibilities

The Rota Co-ordinator will:

- Ensure efficient and effective rota cover for all T&O Theatre Lists and Fracture clinics across both sites (Gloucestershire Royal Hospital & Cheltenham General Hospital).

- Source additional capacity for New Fracture clinics, finding additional post-up follow up slots when needed. 

- Determine which patients could be moved to accommodate more urgent patients (this requires knowledge of the treatment pathway so patient outcomes are not adversely affected).

- Manage Fracture clinic capacity across both sites; including setting up new clinics.

- Support the Lead Co-ordinator with the process for Consultants & Junior Doctors Annual / Study Leave, adhering to the Trust’s and our local leave policy.  Take responsibility for this when the Lead Co-ordinator is on leave.

- Support the Lead Co-ordinator with the sickness / absence reporting process for Consultants and Junior Doctors and take responsibility for this when the Lead Co-ordinator is on leave.

- Identify and implement opportunities for service improvement.

- Covering and backfilling Theatre sessions/Fracture clinics.  

- Ensure all commitments for Theatre and clinics are covered during absence.

- Cover on call commitments and take on additional responsibilities when the Lead Co-coordinator is on leave.

- Submit and authorise Additional Paid sessions (APS) for additional cover within the T&O department. 

- Submit any additional locum shifts on Locums nest.

- Assist Divisional Management with the monitoring and updating of data quality reports as relevant to the area.

- Carry out any other duties that reasonably fall within the general nature and level of responsibility of the post, and as determined by the Lead Co-ordinator.

- Sourcing appointment capacity for the Central Booking Office and other members of staff within the T&O Speciality. 

- Support and line manage the Trauma Triage Team.

- Populate yearly on call and leave spreadsheets.

- Responsible for the line management and day to day management of the Trauma Triage Team, including (but not limited to) annual leave and sickness absence.

- Lead on the organization of recruitment and selection of staff, including preparation of job descriptions, person specifications and interviews.

- Maintain the personal files of staff in the span of control.

- Monitor performance and sickness absence and take appropriate action when necessary.

- Complete F200s and permission procedures for authorization.

- Conduct regular 1:1s with staff and annual appraisals / performance reviews, incorporating KSF and identify training requirements.

- Manage concerns and complaints relating to admin staff in order to improve patient experience.

- Lead on action plans for staff surveys.

- Validate patient pathways and appointment outcomes.

Qualifications, Knowledge and Experience

Essential criteria
  • Excellent prioritisation skills for this busy role.
  • Competent IT skills
  • Appropriate years’ experience of working with a wide range of clinical and non-clinical staff.
  • Previous experience of the hospital system (TRAK)
  • Evidence of 1 years’ experience within an Administrative post in the NHS.
  • Knowledge and awareness of national and local waiting time targets and data quality issues
  • Good and effective organisational skills including a high level of accuracy and attention to detail.
  • Must be able to demonstrate ongoing personal development and willing to undertake any internal training as needed.
  • Experience of training of individuals
  • Excellent Prioritisation skills
  • Able to work under pressure to meet deadlines
  • Evidence of advanced computer skills – including TRAK and Microsoft office applications
  • Flexible working patterns to include working trustwide
