Job overview

An exciting opportunity has arisen to become a key support the Southend Wheelchair Services within a small team as Admin Coordinator. 

This is a high profile and front line position, liaising with general public, services users, GP’s, Hospital and Community staff and requires excellent professional and communication skills.

We are looking for an individual with a positive and compassionate approach to supporting patient care. The successful candidate will spearhead the patient journey from end to end in a professional, efficient, friendly and polite manner.

You must be able to build effective relationships with external service providers alongside patients and colleagues alike. This is an excellent career development opportunity for a self-motivated and enthusiastic individual with a passion for ensuring patient care is at the heart of all they do. 

Main duties of the job

To provide the first line of contact into the service, this can be from service users and a wide range of Health Professionals. 

To coordinate a small team within their admin function that supports the services delivery. 

Prioritising and interpreting service user requirements with knowledge of the processes and equipment and escalating where appropriate in a highly professional, strictly confidential and timely manner.  

To lead on the e-procurement process ensuring effective and accurate record keeping of stock ordered and goods in, alongside processing all orders in line with budgetary restraints.

To process referrals from triage to provision – identifying the appropriate equipment to be issued to the client. Thus to have sufficient knowledge and understanding of wheelchairs and associated equipment in order to be able to establish a problem and where possible acting on own knowledge and skills to identify a solution or appropriate action.

To oversee all aspects of the clinic calendar ensuring efficiency and appropriate times are allocated for priority, urgent work requirements. 

High level of IT skills required – accurate typing skills with a degree of speed required: Use spreadsheets for various reporting, create databases and take minutes when required. Use appropriate software packages, and to provide letters and other documentation, ensuring they are kept up to date. Ensure a daily backup is taken of the wheelchair database.
