Job overview

This is an exciting opportunity to work as part of a busy team delivering Radiology Services to people within Essex and surrounding areas. The role is varied and involves being the first point of contact for people wanting to access our services. So, an excellent interpersonal manner is essential.

We are looking for enthusiastic people to be part of the admin team providing a full range of administrative support including bookings clerk and reception duties.  The post holder needs to be an excellent team player with excellent organisational skills.  Experience of working within a hospital environment would be an advantage but is not essential.

The role will involve being the access point for patients into the service. The ability to maintain an accurate computer appointment system for patients is key.  Reception cover will also be required as part of this role.

You will be working alongside other administrative staff in the role.   Full training and support / supervision will be provided.

The job role is 37.5 hours per week, x4 days per week., normal working hours are 8-6pm.   Some services run 7.30am - 7.30pm therefore some late working will be necessary.  You will be expected to work weekends on a rostered basis.   The job role is based at Broomfield Hospital although working at sites including Braintree and Maldon is also necessary.

Main duties of the job

The Radiology Admin Team consists of approximately 35 - 40 staff.   We are an extremely busy department, covering a variety of different reception areas, appointments office and occasionally working across sites.   We are a friendly, supportive and hard-working team supporting our patients needs and clinical colleagues at all times.

Your duties include but not limited to the following

  • To work as part of a team providing an efficient and effective computerised appointment system including reception duties within the Radiology Department always ensuring a high quality of service
  • Patients and visitors are welcomed, and their individual needs met in an appropriate and courteous manner.
  • Booking appointments with patients over the telephone, as well as any cancellations and subsequent bookings using the computerised systems .
  • Booking clinics from the Radiology Waiting Lists adhering to the Patient Access Plan and breach date

Detailed job description and main responsibilities

  • This is a varied and busy department, the job role will involve in-depth reception duties in a variety of locations within the Radiology Department.   You will also be expected to work in the appointments office, answering the phones, making appointments using computerised systems and following guided instructions when booking different modalities, developing a confident and positive patient focused care approach
  • Determine patients individual requirements in terms of any special needs and transport requests and arrange these when required
  • To respond to patients questions, concerns and complaints over the telephone or in person, resolving issues with them where appropriate and escalating these where necessary
  • Radiology clinics are administered and maintained effectively using the Cris computerised system.   Appointments within a variety of Radiology specialities are arranged appropriately, each having their own booking protocols to be followed accurately
  • Entries into the computerised systems are concise and accurate
  • To maintain confidentiality of information relating to patients and staff at all times
  • Ensure communication is maintained with Senior Managers, Consultants, nursing and medical staff and any other service users in order to provide an effective service to patients

Education & Qualifications

Essential criteria
  • Maths & English GCSE Equivalent - Grace C or above
  • Experience with working with the public face to face
Desirable criteria
  • Experience in a hospital enviroment
  • £xperience of call centre environment

Knowledge & Experience

Essential criteria
  • Demonstrate an understanding of NHS proceedures
  • European Driving Licence
Desirable criteria
  • Experience as a receptionist or call centre agent ideally in a NHS Trust
