Job overview

An exciting and challenging opportunity has arisen in the Corporate Directorate to work alongside the Site Leadership Team based at Basildon Hospital, supporting the Director of Nursing and Medical Director for Care Group 1. 

We are seeking an experienced Personal Assistant with excellent communication and interpersonal skills who can comfortably liaise with a wide range of people and agencies, internally and externally, on behalf of the Site leadership Team whilst maintaining diplomacy, professionalism, confidentiality and discretion at all times.

You will provide a comprehensive effective and efficient PA service to the Medical Director to enable them to carry out their operational and managerial duties, ensuring effective organisation of their time.

Undertaking a wide range of tasks including full inbox and diary management, minute taking and maintenance of action trackers and co-ordination of reports, presentations and other correspondence and be expected to have a flexible approach to working within the hours of 08.30 and 17.00 and will be included in a staff rota to ensure appropriate cover for the Corporate Office during these hours. 

Main duties of the job

Duties will include but are not limited to:

  • Minute taking, comprehensive diary and inbox management and producing high quality correspondence and documentation. The post holder may also have interaction with patients, relatives and members of the public, sometimes in difficult circumstances.
  • Develop and maintain an effective working relationship with other members of the local NHS Confederation, SCCL, NHS Improvement as well as major service providers to the Service.
  • Communicate and disseminate procurement statistics and data to colleagues involved in selecting suppliers and service providers and in committing MSE expenditure. Support and promote the MSE policies at all times.
  • Ensure all queries, complaints and requests for information from customers and suppliers are dealt with in a timely and helpful manner and that all necessary follow-up action is completed satisfactorily in writing, e-mail or by telephone.

This is fast-paced, interesting and demanding role; the successful applicant will need to demonstrate the ability to manage conflicting priorities, meet deadlines and be able to work using their own initiative and must have excellent planning, organisational and analytical skills and demonstrable experience in providing wide-ranging support as a PA at a senior level.

You should have a flexible and proactive approach to work, be educated to NVQ Level 4 or have equivalent relevant experience with excellent knowledge of Microsoft Office applications.
