  • Supporting the Rollout: Lead the implementation of the e-Rostering system across all staff groups within the Trust. Your efforts will ensure a smooth and efficient transition for every department.
  • System Configuration: Build and configure the e-Rostering system to meet the unique needs of each department, tailoring it for optimal performance and usability.
  • Engagement and Promotion: Collaborate with department managers to engage their teams and highlight the numerous benefits of e-Rostering, fostering a culture of innovation and efficiency.
  • Training and Documentation: Provide comprehensive training to department managers and staff, creating clear and useful training materials to support the implementation process.
  • Progress Reporting: Keep track of implementation progress, report on specific projects, and escalate any issues to ensure swift resolutions.
  • Stakeholder Engagement: Participate in stakeholder engagement activities, attend meetings with the system supplier, and document implementation details for accountability.
  • Implementation Team Collaboration: Work closely with the wider implementation team to facilitate and organize relevant meetings, ensuring cohesive and effective teamwork.

Main duties of the job

You will be supporting the implementation of a new e-Rostering solution to Sussex Community, delivering comprehensive training and configuration to ensure the system meets the needs of the services and complies with Trust requirements. 

You will be actively involved in the systems development, implementation and facilitation for successful change and benefits realisation across the organisation. 

You will work closely with services to undertake deep dives on their rostering practices and set ups, highlight areas of poor practices and making recommendations for best practice.

Feeding back ideas for development to be discussed with the e-Rostering provider. Supporting the implementation of any developed ideas within the Trust and pushing for higher user adoption and acceptance. 

Deal with issues quickly as they arise, using creativity to find workarounds and solutions to problems. Provide first and second line support to system users regarding all aspects of the software, including user accounts, payroll queries, contractual changes and Rostering policy.

  •  Support the implementation of the e-Rostering solution across the Trust involving comprehensive training and configuration to ensure the system meets the needs of unit managers and complies with Trust requirements.
  •  Maintain databases, contribute to the test of planned upgrades and maintain user accounts and system rights.
  •  Investigation, reporting and resolution of faults and issues, escalating to line manager as required. 
  •  To provide first and second line support to system users regarding all aspects of the software, including user accounts, payroll queries, contractual changes and roster policy.
  •  Exercise judgement and initiative in referring issues to relevant partners in the absence of their senior colleagues.
  • Advising on the most appropriate tools and reports for system users, and how to access these.
  • Contribute to and develop a knowledge centre for the use of the system. 
  • To be aware of the NHS Agenda for change terms and conditions of employment and to ensure that the working patterns in the system are compliant. 
  • Working closely with their line manager to ensure the Trust obtains maximum benefit from the ongoing utilisation of the system through a programme of education and sharing of best practice.
  • Active involvement in the systems development, implementation and facilitation for successful change and benefits realisation across the organisation.
  • The post holder will support the roll out of any future modules which may be added to the e-Rostering system. 
  • To be aware of any potential canges to Trust processes and workflow and to report up any impacts this may have on the system.
  • To liaise with other team member to ensure a consistent service approach is maintained. 
  •  Provide data on an ad hoc basis as required by senior managers, clinicians , unit manager and their deputies including revising establishments and interpreting this into staffing demand. 
  • Deal with issues quickly as they arise, using creativity to find workarounds and solutions to problems where the system might not quite meet their needs. Escalate issues to their line manager in a timely manner ensuring good record keeping is adhered to for audit purposes. 
  • Mentoring colleagues within the temporary workforce service to improve their skills and become effective team players. 
  • Become conversant with and provide expert advice, guidance and training on the e-rostering system.
  • Understand the clinical governance requirements for all areas to ensure rosters are being planned accordingly.

Essential criteria
  • Educated to diploma level or relevant equivalent experience
Desirable criteria
  • Understanding of relevant legislation inclurding employment law and data protection, through training and experience

Experience

Essential criteria
  • Experience of utilising and maintaining administration proecsses both manual and electronic
  • Experience of producing documentation to a high standard
  • Experience of managing own workload and supporting others in a team environment to ensure that service standards are maintained
  • Experience of using and maintaining IT systems e.g. e-Rostering
Desirable criteria
  • Experience of delivering training
  • Experience of supporting and advising managers of e-Rostering systems or rostering guidelines
  • Experience of working within a Human Resources and/or resourcing environment
