Job overview
The Quality and Safety department are looking for Quality & Safety Co-ordinators to provide maternity cover. The team have hybrid and flexible working in place and roles offer a great holistic overview of governance across the Trust.
The role will be supporting quality and safety systems and will be working closely with specialist Leads (e.g. Patient Safety, Risk, Patient Experience, Quality Development) to support the wider organisation.
Main duties of the job
Working as part of the support team in Quality & Safety to support the departments projects and support specialist teams/Leads.
Supporting the team with the collation and review of data from incidents, patient feedback, etc.
Managing calls and emails to the department to provide a responsive service to queries from operational teams across the Trust.
Supporting governance meetings by preparing papers and chasing up actions.

Detailed job description and main responsibilities
Supporting the team with the management of data on our InPhase (training can be provided) and organising follow up reviews to incidents and patient enquiries for the specialist Leads and tracking the management of actions and recommendations across the Trust.
Collating evidence for the CQC standards and uploading policies and procedures.
The department uses InPhase for the management of incidents, risks, audits, policies etc, and training on the system will be provided. Prior experience of InPhase, or similar systems is not essential.

Essential criteria
- Working in an office environment where a large and diverse range of callers and visitors are received.
- Dealing directly with customers, patients and members of the public.
- Arranging meetings involving people from different organisations – including co-ordinating diaries, booking meeting rooms and sending out agendas and papers.
- Contributing to the development of administrative or office procedures
- Communicating effectively with a diverse range of people.
- Handling personally or commercially sensitive information.
Desirable criteria
- Stock control, ordering supplies and processing financial documentation.
- Organising the work of others – including setting up rotas, monitoring workload and performance.
Qualifications
Essential criteria
- Qualifications: NVQ Level 3 or equivalent qualification in business administration.
- Qualifications: Applicants with a lower level qualification who have equivalent experience will be considered
- Qualifications: School leaving qualification (GCSE or equivalent) in maths and English language or able to demonstrate equivalent competence.
Skills and Knowledge
Essential criteria
- Able to communicate and explain administrative procedures and issues in a clear, concise way to a diverse range of people.
- Able to respond in a kind and sensitive way to people who may be upset or worried about their health or care.
- Able to organise meetings, ensuring a range of people are brought together at the same time and have the correct information.
- Able to work as part of a team and ensure that clinical and managerial colleagues are well-supported and not required to frequently get involved in administrative matters.
- Able to write clear meeting minutes or notes.
- Advanced skills in using Microsoft Office software to create attractive and well laid-out documents and presentations. Able to use Microsoft Outlook for diary, workload and email management.
- Fast, accurate keyboard skills.
- Able to carry out basic calculations using Microsoft Excel.

- Able to listen to and accurately represent the views of others when inviting feedback about administrative matters.

- There may be some requirement to travel to other Trust sites to attend meetings.
