An opportunity has arisen to recruit an experienced and highly motivated Clinical Team Secretary within the Adult Learning Disabilities Service. This is a permanent, full time post, working Monday to Friday between the hours of 8am and 5pm. The successful candidate will work within ALD North Tees Community Team, covering both Hartlepool and Stockton with bases in each area, with the expectation of flexibility in relation to providing cover across both Team bases and for the occasional cover across other sites if required.

Applications are invited from individuals who work accurately under pressure, can be flexible and is a good team member in addition to being suitably qualified for the post of Band 3 Community Team Secretary/ Administrator.
As part of the community team, the successful applicant will provide a comprehensive administrative and secretarial support to all members of the multi-disciplinary team. The post holder will first point of contact for service users, family and carers, responding to a range of
enquiries or concerns over the telephone., in addition to dealing with enquiries to the community team, from GPs and other professionals,
taking action where necessary and ensuring messages are communicated
accurately to relevant personnel and in an appropriate and timely manner.
Excellent communication skills, both verbal and written coupled with proven secretarial skills and previous experience is essential.
The successful candidates must also have the ability to be organised, efficient and have the capacity to prioritise their workload whilst dealing sensitively with issues and maintaining confidential information.

Qualifications

- Diploma/NVQ Level 3 in Business Administration or equivalent (or willingness to achieve within an agreed timescale
- ITQ Level 2 or equivalent or willingness to work towards
- Key skills in literacy and numeracy Level 2 or O Level / GCSE in Maths and English grade C or above
Experience

- Significant secretarial/administrative experience

- Secretarial/administrative experience in a clinical environment
- Experience of participation in service and quality improvement and initiatives
- Experience of training/supervising junior administrative staff
Knowledge

- Comprehensive knowledge of secretarial and administrative procedures and the ability to undertake associated tasks ensuring adherence to defined procedures and guidelines.
- Comprehensive knowledge of Microsoft Office applications (Word, Excel and Outlook).
- Understanding of confidentiality and the associated legal and policy requirements.

- Working knowledge of medical/psychological terminology.
Skills

- Copy type and transcribe accurately from audiotape and/or shorthand, at a minimum speed of 50 wpm.
- Input data accurately / efficiently
- Demonstrate good organisational and diary management skills to include co-ordination of meetings and associated duties.
- Communicate effectively in the English language and demonstrate both verbal and written comprehension skill.
- Maintain concentration and attention to detail whilst also dealing effectively with interruptions.
- Work on own initiative, prioritise work and consistently meet deadlines.
- Depending on work area, supervise staff in a positive manner to facilitate delivery of an effective service.
