Job overview

Our Medical Secretary will provide high quality secretarial, administrative and clerical support to Consultant Rheumatologists, maintaining departmental and Trust standards in line with Standard Operating Procedures.

 

They will help and support the Admin Team Co-ordinator to undertake change management. They will ensure patients are treated with courtesy, dignity and respect.

Main duties of the job

Communication and working relationships

  • This position requires empathy and tact when dealing with patients that may be angry or upset regarding any aspect of their care
  • To ensure patients are treated with courtesy, dignity and respect
  • Communicate effectively in writing and verbally with:

o   Nursing staff

o   Medical personnel

The Rheumatology Department at Torbay Hospital is based in Kitson Hall. We work as a close multi-disciplinary team which consists of Consultants, Specialist Registrars, Specailist Nurses, Specailist Dietitians and administration staff, and other specialist staff. We carry out assessment, investigations and treatment of patients with life-long conditions, whilst offering an holistic approach to their care.

Detailed job description and main responsibilities

 Policy and service responsibility

  • ·       To ensure relevant training is completed in order to use Trust IT computer systems
  • ·       To use the relevant Trust IT computer systems to maintain patient records
  • ·       To ensure you have the necessary training to utilise specialist secretarial equipment
  • ·       To provide cover for the medical secretaries and other members of the secretarial and administration team as required
  • ·       To contribute to the development of policy and processes as required
  • ·       To support continuous quality improvement
  • ·       To support the delivery of agreed service outcomes
  • ·       To order stationery on Unit4
  • Responsibility for supervision, leadership and management
  • ·         Supervisor responsibility for administrative support staff

Essential criteria
  • Good standard of general education to include GCSE in Maths and English or equivalent
  • Proven accurate typing
  • Good knowledge of Microsoft Office software
  • Proven experience of providing a customer focused service
  • Proven relevant experience in a busy office environment
  • Ability to work as part of a team or independently within a team environment
Desirable criteria
  • Audio typing qualification
  • Have knowledge of hospital systems, i.e.: PAS, Infoflex, Cyberlab, Ultragenda, Unit4
  • NHS experience
