Reception Supervisor - Patient Access Centre
37.5 hours p/w - Monday - Friday

An exciting opportunity has arisen to join the Outpatient Reception team as a Supervisor, working as part of and supporting the wider team across Torbay Hospital and also Paignton HWBC. 

The ideal person will have line management experience within a healthcare setting, with a proactive approach and excellent customer service skills.

The team is compromised of 16 Receptionists that work across 7 Reception areas.

This role will be working alongside the current Supervisor, sharing the line management duties of the team while also supporting in the day to day running of the allocated Reception areas.

The role will cover at both Torbay Hospital and Paignton HWBC, hours and working location are variable throughout the week.

Main duties of the job

  • Line management of 8 Band 2 Receptionists including absence, performance and annual achievement reviews
  • Supervision of allocated Reception areas
  • Completeing staff rotas and monitoring Flexi time of allocated staff
  • Service improvement and change managment 
  • Checking patients in for Outpatient appointments
  • Booking, cancelling and rearranging Outpatient appointments
  • Management of notes (tracering, requesting, etc.)
  • Setting up of clinics for day
  • Assoctiated administration tasks (completeing outcomes, etc.)
  • Taking inbound calls
  • Maintaining a high standard of customer service
  • Use of hospital systems to effectively support the management of the patient journey
  • Managing spreadsheets as required
  • Liaising with colleagues at all levels to ensure the patient journey is smooth
  • To work in accordance with the Trust policies at all times

Working for our organisation

The Outpatient reception team covers 7 busy reception areas within Torbay Hospital and Paignton HWBC; Main Outpatients Reception, Eye Clinic Reception, MAAT Reception, Crowthorn Unit Reception, Paediatrics Reception, Fracture Clinic Reception and Urology Reception at Paignton HWBC.

The department handles approximately 500,000 appointments a year.

Qualifications and training

Essential criteria
  • Minimum of 4 A-C GSESs (must include English and Math) or equivalent
Desirable criteria
  • NVQ2 in leadership or management or equivalent

Knowledge and experience

Essential criteria
  • Line management experience
  • Face to face customer service experience - minimum of 2 years.
  • Good understanding of Data Protection and Information Governance
  • Good working IT knowledge, including Excel, Outlook and Word.
  • Awareness of Equality and Diversity
Desirable criteria
  • NHS experience
  • Knowledge of hospital IT systems, preferably including IHCS and PTL
  • Experience in a healthcare or public service setting
