Job overview

The Data Access and Disclosure Advice (DADO) team deal with enquiries and process requests for data held by the trust.

Information is provided to requesters in line with current legislation and requires diligent assessment of records to ensure information is appropriately handled and redacted.  

This role will support the work of the DADO Office team lead and DSP lead in ensuring Torbay & South Devon NHS Foundation Trust complies with Data Protection Regulations legislation in a timely manner under the requirements of the Acts and relevant Codes of Practice.

To support requests from Courts, Police and Solicitors to the Data Access & Disclosure Office in the provision of appropriate patient and staff information this is sent securely, accurately and in a timely manner.

Working as a team to provide a seamless and efficient service to patients and their representatives and staff.

 

Main duties of the job

Process and monitor requests received from patients or their personal representatives under Subject Access Rules as per internal procedures within the agreed timescales.

Process and monitor requests received from other organisations (Courts/Police) under the relevant Data Protection Regulations within the required legal framework

Assist staff in the team and provide additional support when necessary.

Review all generic [email protected] account and action/forward requests as required.

Providing information to external agencies following departmental or Trust policy as directed by line manager.

Any other duties that may arise

Working for our organisation

The Data Access Office handles requests for information from the general public, patients, staff and solicitors under the Data Protection Act 2018, GDPR and the Freedom of Information Act 2000.  At present the department receives in excess of 2,000 Data Protection requests & 840 Freedom of Information requests a year.

Communication   

 Skills to liaise with:

External – Patients, Service Users, Insurance Companies, Solicitors’, other NHS Organisations, Police and Local Authorities.                           

Internal – All staff working within and Torbay & South Devon NHS Foundation Trust.  

Planning and organisation       

Monitor requests for information received by the Trust and ensure requests are completed within the required legal framework.         

Keeping up to date with new legislation and applying that knowledge to the NHS and more specifically to Torbay & South Devon NHS Foundation Trust

Responsibility and accountability

Assist DADO Team lead with the creation and maintenance of relevant policies and procedures.       

Information technology and administrative duties

Maintain the database, recording requests, actions and outcomes Reviewing and maintaining the Team’s website, both internal and external.

Qualifications

Essential criteria
  • Good level of education.
  • Knowledge of Data Protection Act 2018
  • Excellent organisational skills and attention to detail.
  • Ability to work as part of a team.
  • Ability to work with discretion, sensitivity and maintain confidentiality.
  • Ability to prioritise own work.
  • Relevant experience in similar role
Desirable criteria
  • 2 years experience within the NHS
  • Knowledge of Medical Records
