We are looking to recruit  enthusiastic and motivated individual who would like to pursue a career in administration by undertaking a  Level 2 Admin Apprenticeship

This post is part of a professional team working in the ENT (Ear, nose and throat) and Audiology departments.

Preference will be given to internal Trust staff, as well as ‘Priority’ and 'At Risk' status including NHS at Risk staff throughout Devon who is able to display recent relevant experience as dictated by the Person Specification.

Main duties of the job

To be trained to:

 

  • Assist teams with sending letters to patients, GP’s and other health professionals.

 

  • Book appointments and review waiting lists under the guidance of the admin team.

 

  • Assist the reception team and admin team by adding waiting lists.

 

  • Photocopying and filling.

 

  • Work as part of the ENT and Audiology reception team which on occasions will require covering reception alone during lunch breaks and sickness (support will be available).

 

  • Engage in conversations with nurses, clinicians, audiologists and patients during clinic.

 

  • Print off 2 week wait referrals and deliver to the outpatient nurse manager for triage and update tracking system of referrals.

 

  • As part of the role the post holder is required to go to other departments within the hospital to collect patient case notes.

 

  • To ensure the patient document tracing system is kept up to date with the movement of patient case notes both into and out of the department.

 

  • To have knowledge and understanding of the APN’s (administrative procedure notes) regarding the preparation and management of patient case notes and waiting list/appointment booking.

 

  • To support other areas such as the ENT Secretaries and Admissions team.

 

  • Work collaboratively within a team.

 

  • To be an effective communicator both face to face and using the telephone.
