Receptionist/Ward Clerk/Clerical Officer

Trosolwg o'r swydd

To assist in the provision of ward clerk, clerical and receptionist support to the management and clinical teams within Dawlish and Teignmouth Community hospitals, covering all administrative areas within the departmental remit.

Prif ddyletswyddau'r swydd

  • Provide basic administration support to Coastal Community hospitals, MIU, OPD, Day Theatre, Dawlish Ward and hospital receptions as requested.
  • Book patients into outpatient departments via the hospital computer system, ensuring that all data is correct, as quickly as possible
  • Direct visitors to the hospital in a courteous , tactful and timely manner
  • To accurately take messages, informing the appropriate individual as soon as possible
  • To assist in the maintenance of an efficient key management system within the department
  • To liase with all staff, patients and clinicians, both within and outside the Trust, acting appropriately and seeking advice as necessary.
  • To ensure that confidentiality of information id maintained
  • To undertake various clerical tasks i.e working on main reception, dealing with telephone enquiries, corresponding to enquiries via email, photocopying, requesting patient notes, moving and lifting patient notes, preparing clinics

  • To receive clients to the various Departments within the Coastal Community Hospitals
  • To courteously and efficiently receive enquiries including telephone calls, taking messages and ensuring that these are passed on to the appropriate person
  • Communicate effectively in writing and verbally with internal- admin and clerical staff, management, nursing staff, medical personnel, therapist and ancillary staff. External- Patients and carers, members of the general public, GP practices, other hospitals both in and out of the area
  • To be aware of and work to departmental and Trust protocols, policies and guidelines
  • To report  any accidents or defects in equipment, near misses, and untoward incidents, following Trust procedure
  • to report estates defects and follow up as required
  • To work on a rota basis weekends and Bank holidays to ensure adequate service cover is provided at all times
  • Reliability and Flexibility is able to contribute to changing needs of the Admin team
  • Ability to work within a team

  • Previous demonstrable reception/ clerical experience
  • Proven relevant ICT skills
  • Previous experience of dealing face to face with the public

  • Knowledge of hospital systems
