Job overview

An opportunity has arisen for an experienced Administrator to join the team on Bluebell Ward.

The successful candidate will be expected to provide a comprehensive secretarial service to the designated team, including typing/word processing of letters, memos, minutes, reports and other routine correspondence.

The post holder will:

  • Provide, maintain and develop a high quality, administrative / secretarial support reflecting the professionalism of the Acute inpatient team. 
  • Provide a comprehensive secretarial service to the Team including typing/word processing of letters, memos, minutes, reports and other routine correspondence.
  • Work on their own initiative, as well as part of the wider Administrative Team and demonstrate a willingness to help others and be a key member of the team with responsibility for allocated tasks. 

Main duties of the job

  • Prioritise urgent calls and signposting appropriately to the relevant staff, which may include clinical leads, clinicians, professionals and hospital staff.
  • Organise patients ward rounds and invite family, carers and professionals.
  • Take minutes for meetings and ensure these are typed in a timely manner.
  • Scan patient correspondence onto the EPR and any ward related documents. 
  • Complete filing and update ward paperwork.
  • Report any maintenance requests and follow up on these requests.
  • Complete the ordering for the ward including staff uniforms.

  • Provide a comprehensive secretarial service to the designated Team including typing/word processing of letters, memos, minutes, reports and other routine correspondence.
  • Produce documents, charts, tables etc., by use of Microsoft IT Packages, e.g. Word, Excel, and disseminate information via email.
  • Ensure the maintenance of accurate and efficient filing systems, including both paper and computerised systems ensuring strict confidentiality of client identifiable information.
  • Taking of minutes in a range of professional multi-disciplinary meetings as requested by Team Members.
  • Prioritise and undertake general clerical tasks, including photocopying, filing, processing of mail etc.
  • Receive and make telephone calls on behalf of the clinicians, taking messages and dealing with enquiries appropriately and ensuring accurate and timely communication of messages.
  • Ensure timely collection and production of statistical data relating to the service as directed, compiling reports where necessary for management information and forwarding relevant information to other Trust Departments as necessary.
  • Undertake any other appropriate duties as may be delegated from time to time by Team Manager or Team members.
  • Maintain a professional and confidential approach to work at all times
  • To be familiar with and comply with relevant Trust Operational, Personnel and Health and Safety procedures.

Person specification

Qualifications and Training

Essential criteria
  • GCSE English Language Grade C or higher or equivalent qualification
  • RSA III Typewriting/Word Processing or equivalent or demonstrable skills
  • Proficient in Word, Access, Excel, PowerPoint and Publisher

Skills, Knowledge and Experience

Essential criteria
  • Excellent communication skills and ability to convey information
Desirable criteria
  • Knowledge of managing electronic diaries
  • Recent and relevant administration experience
