This is a temporary post for 12 months covering maternity leave.
An opportunity has arisen for a Records Assistant to work within the Maternity & Gynaecology Care Unit, Family Care Division.
The main duties of the role include maintaining and transporting all forms of documentation, such as files and case notes, ensuring that records are stored appropriately and that confidentiality is maintained at all times. There is also a requirement to track case notes, which will involve updating the computerised tracking systems.
Main duties of the job
To file designated items of documentation accurately in patient case notes and other clinical and non-clinical files.
To transport case notes, files and other documentation appropriately including retrieval, parcelling up and arranging transportation for other destinations requiring the divisions’ casenotes.
To problem solve effectively and efficiently, utilising own initiative when trying to locate patient notes that may have been tracked to an incorrect location.
To undertake other appropriate general administrative tasks, including photocopying and any other necessary filing.
Retrieval of messages and dealing with enquiries as appropriate.
To maintain confidentiality at all times relating to the patients, staff and the Trust, ensuring compliance to Information Governance policies.

Essential criteria
- Educated to GCSE level in English (or equivalent).
Desirable criteria
- Any office based training such as NVQ.
Experience
Essential criteria
- Evidence of clerical experience within the workplace (must be familiar with and have a working knowledge of general office equipment and filing systems).
Desirable criteria
- Experience gained within health care environment.
- Experience in an office environment.
- Previous Careflow experience.
Skills and Knowledge
Essential criteria
- Good verbal communication skills.
- Use of office equipment e.g. photocopier.
- Understanding of confidentiality.
- Ability to problem solve and utilise own initiative.
Desirable criteria
- Knowledge of secretarial / office procedures.
