Job overview

To ensure the provision of a fully comprehensive administrative service across the system coordination centre (SCC) whilst working closely with the wider SCC team taking direction from the SCC co-ordinator working in a professional, efficient and confidential manner whilst adhering to deadlines as required.  

 

To support the system coordination centre by being responsive and flexible to the changing needs of the service including escalating any issues or concerns in a timely and efficient manner. 

To be responsible for providing support in collation and production of papers for meetings including high attention to detail when transcribing accurate minutes, actions logs, updating databases, spreadsheets and maintaining and effective electronic filing system.

To undertake diary management, including booking meetings, events and appointments as required ensuring attendance is optimised by resolving conflicting appointments. 

Main duties of the job

Act as a point of contact for the SCC team, including developing effective working relationships within broad range of internal and external within the SCC and SCC networks.   

Maintain the team inbox whilst providing an excellent and responsive service to queries at all times, handling all matters with sensitivity, discretion and confidentiality.

Keep knowledge up to date with relevant communications affecting patient safety or service delivery such as SHREWD alters (a data reporting function), CQC inspections and changes in policy, process or standard operating procedures.

To contribute to the ongoing development and improvement of the SCC team by proposing changes to systems, policies and standard operating procedures.

Plan, organise & balance routine administrative tasks, prioritising as required whilst ensuring that you are task and result focussed to ensure deadlines are met and outcomes achieved whilst providing an efficient & effective administrative service & highlighting any issues or risks.  

Undertake reporting of information, including supporting the SCC coordinator with completion of forms and returns for audit.

Provide cover for the SCC coordinator during absence or annual leave and provide training to new starters in processes that fall under this post.

The workload is busy & requires excellent planning & organisation skills which will include maintaining databases & spreadsheets on various information systems.

Qualifications

Essential criteria
  • NVQ level 3 in relevant business/administration qualification or eqivalent level of qualification, or significant experience as personal assistant/business administrator
  • 5 GCSE’s or equivalent including English and maths
  • RSA 111 typing/word processing or equivalent

Experience

  • Experience working at a similar level in an busy administrative role
  • Expertise in a range of work procedures and practice in relevant specialism
  • Experience in prioritising workloads
  • Proven experience of working in a busy office environment
  • Experience in communicating and liaising with all levels of stakeholders

Skills

  • Proven experience of using various MS Office applications (word/excel/powerpoint)
  • Excellent planning and organisational skills, including prioritisation
  • Set up and maintain effective administrative office systems both electronic and paper based

  • Organise meetings and take comprehensive accurate minutes
