Job overview

We are looking for an experienced administrator to provide comprehensive secretarial and clerical support to the Outpatient Therapies Teams based in the Rehabilitation Centre at The James Cook University Hospital.

The successful candidate will be responsible for facilitating the smooth running of the department, will take an active role in the ongoing development of the clerical services and to hold responsibility for the organisation of the departmental patient-based information and appointment system.

You will have previous secretarial/clerical experience, excellent communication, interpersonal and organisational skills. It’s important that you are resilient, able to act on your own initiative and work both independently and as part of a team. You must be able to work under pressure to tight deadlines and prioritise workloads as well as being positive and enthusiastic.

You must also be willing to work flexibly and provide cover for other members of the clerical team as and when required.

Working in a health care environment using IT skills and a knowledge of the E-CAMIS and EVOLVE systems would be desirable.

Main duties of the job

·   To provide comprehensive secretarial, clerical and information technology support to the Outpatient Therapies Teams based in the Rehabilitation Centre at The James Cook University Hospital.

·   To facilitate the smooth running of the department, take an active role in the ongoing development of the clerical services and to hold responsibility for the organisation of the departmental patient-based information and appointment system.

·   To liaise with other departments and external agencies where necessary.

·   To manage and coordinate the administration and reception staff within the service.

Essential criteria
  • Knowledge of a range of secretarial procedures and software programmes
  • Advanced keyboard skills.

Qualifications

Essential criteria
  • Good general education to GCSE level including English and Maths
  • Knowledge of a range of administration procedures and software programmes acquired through NVQ III or equivalent
Desirable criteria
  • Management/ training qualification

Experience

Essential criteria
  • Relevant secretarial/ administrative experience.
  • Experience of using a computerised appointments system.
  • Experience of using electronic spreadsheets, databases, PowerPoint, and Excel.
Desirable criteria
  • Experience of working in a healthcare setting and basic knowledge of the NHS
