Job overview

The post holder will provide an effective admin support service to the Directorate of Estates, Facilities and Capital Planning Team. A high degree of initiative and good organisational skills is required along with the ability to provide excellent communication skills.

 

Main duties of the job

Carry out routine administrative duties pertinent to the service

The role requires the individual to work as part of a multi – disciplinary team.

The post holder will be expected to undertake / complete the following tasks (where applicable) :-

Receiving, recording, sorting and distributing any form of communication and take appropriate action including escalation where appropriate

Meet and greet visitors to the Trusts

Order and receive stocks and stores

Data collection, update, management and maintenance of systems relevant to service

Word processing / utilising Microsoft Office

General administrative and clerical procedures including receiving and sending e-mails, filing, photocopying, scanning of documents and faxing as required

Compliance with General Data Protection Regulations and patient confidentiality supporting processes for clinical governance and information governance

To coordinate telephone calls, diary requests, messaging and meetings for the Directorate of Estates, Facilities and Capital Planning

Service formal meetings across the Directorate, through collation and retrieval of papers, production of agendas, taking minutes of meetings, capturing relevant discussion and action points.  Co-ordinate and ensure the typing and distribution of relevant papers in a timely manner

  • Excellent communication and interpersonal skills

  • GCSE’s A-C or equivalent qualification or experience
  • NVQ 2 in Business Administration or equivalent experience.
