Job overview

The Outpatient Reception Team are looking for a well-organised, self-confident and proactive individual to work in a very busy and demanding environment, either alone or as part of the team.

Work is time sensitive and target driven and will involve liaising with patients, clinical staff and managers at all levels. Good communication skills will also be required in this role.

The role offers ownership of own workload and good team spirit with excellent support.

The successful applicants will have previous administrative experience and ideally knowledge of NHS computer systems and will have worked in a hospital environment along with having excellent customer service skills. They will be able to work independently once fully trained but will also be a key member of the team.

Ability to travel between sites 

Hours per Week: 37.5 hours 

Monday-Friday 8.30am-5pm 

 

Main duties of the job

Working as part of the specialty operational team to  support the reception supervisor in the delivery of all reception services.  Coordinating staff systems and processes . 

The post-holder will provide an efficient and effective administrative and data quality  service for the Planned Care directorate. The post requires good organisational and keyboard skills and a professional telephone manner. Have the ability to support the reception team to deal with patients arriving to their appointments in a professional caring manner.

To support the Reception Supervisor in planning and arranging the  staff Rota's and covering where required in the community . 

The post-holder will be expected to work closely with colleagues across the multi-disciplinary teams, using their initiative and decision making within agreed service guidelines and local and national targets.

Essential criteria
  • 5 GCSEs or equivalent, grade C or above. Must include English
  • Working towards NVQ level 3 or equivalent experience
Desirable criteria
  • ECDL

  • Previous office admin experience

Knowledge and Skills

  • Knowledge of hospital patient administration systems or other computer based systems for making appointments
  • Working knowledge of windows and excel packages
  • Sound understanding of confidentiality and Data Protection Act 1998
  • Strong written and verbal communication skills and an ability to deal with sensitive issues
