An opportunity has arisen for a part-time Audiology Clinic Co-ordinator to join our busy, friendly, and patient-centric Audiology Service to provide Maternity Leave cover until 02/10/2025.  

This post would be an ideal opportunity for somebody looking for a part-time post based at both Glangwili Hospital in Carmarthen and Prince Philip Hospital in Llanelli.  Based in the Audiology reception office you will be required to help and support our patients by answering telephone calls, booking patients in for their appointments and issuing hearing aid batteries.  You will also be responsible for booking adult Audiology appointments as well as undertaking a variety of general clerical duties. You will be required to have excellent communication skills and have experience in Administration and Clerical duties. You will need to be able to work in a calm, logical and methodical way but be able to multi-task whilst dealing with frequent interruptions.  Experience of working within a healthcare setting would be an advantage.

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Main duties of the job

To develop and maintain an effective, friendly and professional clinic administration service for patients and staff, ensuring clinics are administered according to best practice with appropriate staffing levels and efficient use of resources.

Provide a reception and an administrative support service including answering the telephone, greeting customers and dealing with incoming / outgoing mail. Working closely with the larger Audiology team, continually improve service delivery.

You will be responsible for the day to day running of the Audiology department that includes outreach site, supporting the Audiology Manager and Office Manager to delivery key performance indicators and service developments.

To be an advocate of Patient Experience in the Audiology department, delivering the highest quality service to every patient and by putting the patient at the heart of everything we do.

Qualifications and Knowledge

Essential criteria
  • Good standard of general education
  • Numeracy and Literacy Skills
  • Qualified to NVQ Level 3 or equivalent qualification, or experience in a similar role
  • Effective oral and written communication skills
  • Ability to work under supervision and confident to seek advice when appropriate
  • Good accuracy and attention to detail

  • To be able to work to deadlines
  • Basic computer skills i.e. able to use email and internet to send and retrieve information
Desirable criteria
  • NVQ level 3 in Business Administration
  • Evidence of ability to complete tasks effectively

Experience

Essential criteria
  • Experience of IT packages such as Word, Excel and Outlook
  • Office / Administrative experience
  • Demonstrate an understanding of customer care when liaising with the public on the telephone, electronically and/or face-to-face
  • Ability to communicate effectively and sensitively
  • Working in a team for a common goal
  • Evidence of significant administrative experience within a customer focused environment
  • Experience and understanding of outpatient services and performance indicators
  • Experience in implementing NHS policies and guidelines relevant to outpatient services
Desirable criteria
  • Previous experience working in a healthcare setting specialising in healthcare appointment making.
  • Previous experience of working as an Audiology Administrator / Receptionist
  • Willingness to undertake NHS specific IT system training (eg casenote tracking and AuditBase patient management system)
  • Proven experience of developing administrative processes, analysing information, and report writing
