Please be advised that there is a temporary top up for Bands 1,2 and 3 to reflect the incorporation of the top up to the  living wage of £12 per hour - £23,465 per annum. This temporary top up will be in place until  the annual pay uplift for 2024/25 is confirmed.

Job overview

Are you experienced in providing comprehensive executive, secretarial and administrative support to a Senior Management role and looking for a dynamic and rewarding role?  

For this role, you will need to be proactive and resourceful with excellent organisational skills and an ability to prioritise workloads and meet required deadlines. With close attention to detail, you should have excellent written and verbal communication skills, as well as being confident at developing good relationships with both internal and external managers, peers and staff.  

Electronic diary management and minute taking experience is essential for this role.  You will also be line manager to some members of the PA Team within Screening.

 

Main duties of the job

·     The post holder will line manage the Senior Management Assistants, which includes sickness absence management and performance reviews etc

·     The post holder will also provide comprehensive executive, secretarial and administrative support to the Screening Services Senior Management Team (SMT).

·     This includes planning and organising complex activities and logistics, providing high level support to projects as required, dealing with confidential and sensitive information and communicating/liaising with SMT Managers, senior executives in Health Boards, colleagues in Welsh Government and wider partners including Local Authorities as appropriate. 

·     The post holder will manage SMT level meetings as required including the collation, tracking and dissemination of papers, taking of minutes and management of actions. This is a key role to the effective running of Screening Services. The duties and responsibilities listed below are not intended to be exhaustive but are set out to indicate the main areas of activity currently expected of any Senior Management Assistant Coordinator.  The post holder will therefore be expected to adopt a flexible approach when the needs of the role require.

·     The post holder will also be responsible for developing standard operating processes (SOPs) and procedures and working with peers to ensure these are in place and being adhered to for the team.

The Screening Division is part of the Health Protection and Screening Services Directorate of Public Health Wales.  As part of Public Health Wales, we are committed to working to achieve a healthier future for Wales. The Screening Division delivers the seven national population based screening programmes in Wales (Breast Test Wales, Bowel Screening Wales, Cervical Screening Wales, Newborn Bloodspot Screening Wales, Newborn Hearing Screening Wales, Diabetic Eye Screening Wales, Wales Abdominal Aortic Aneurysm Screening Programme) and manages the Antenatal Screening Wales clinical network.

Qualifications and Knowledge

Essential criteria
  • • Relevant word/text processing qualification or equivalent level of knowledge and understanding of how to format documents to a very high standard
  • • Educated to Level 6, Degree qualification or equivalent level of knowledge and skills in Business and Administration
  • • Understanding of project management methodologies

Experience

Essential criteria
  • • Demonstrable proven experience of working as a Support Coordinator, Executive/Personal Assistant or similar role
  • • Complex Diary management
  • • Experience of dealing with confidential and sensitive information and appropriate maintenance and storage of records
  • • Experience in a supervisory/management role
  • • Experience in the management of business and office procedures
  • • Formal minute taking as well as summary note taking

Skills and Attributes

  • • Proficient in the use of standard Microsoft software, such as Outlook, Teams, Word, Excel, PowerPoint.
  • • Ability to demonstrate understanding and application of our workplace values, together with the underpinning behaviours identified for success in this role

  • • Ability to manage team workload ensuring cross cover where necessary
  • • Able to organise multi-disciplinary meetings and events

  • • Ability to adapt rapidly to a changing complex environment
