Job overview

PA to the Head of service, Deputy and Section Managers, providing all necessary secretarial and administrative duties associated in the Radiotherapy Physics Service.

Responsible for day-to-day administrative management and overseeing efficient, high quality radiotherapy physics services across Velindre University NHS Trust.

 Provide radiotherapy pre-treatment pathway support, liaising with radiographers, oncologists and use of relevant computer systems.

Main duties of the job

Support the Head of Service and deputies to ensure comprehensive support in execution of their duties.

Provide co-ordination and management of electronic diaries for the Senior Management

Provide support to colleagues, sharing knowledge and expertise in order to provide the highest possible quality of service with the resources available

Manage and update computerised data systems to ensure timely action of issues as directed by the Head of Services

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Detailed job description and main responsibilities

  • Possess expert knowledge of the tasks associated with the procedures carried out by the team
  • To be aware of all relevant Trust policies and to ensure compliance within the team
  • Maintain a good understanding of available new technologies and techniques relevant to the service (ie ARIA)
  • Implement service change as required
  • Maintain guidance, policy and protocols and ensure compliance
  • Deal with complex and contentious issues and queries within the scope of the role, providing sensitive and complex information to patients regarding their treatment booking, escalating to line manager when / if appropriate
  • Ensure an efficient and proactive customer service
  • Uphold / maintain professional standards for the team
  • Maintain a highly organised office environment to ensure compliance with confidentiality and data protection in line with Trust / National policy and set office standards for the team
  • Manage own workload dealing with and resolving issues as and when they occur without direct supervision on a daily basis.
