We are seeking an experienced senior medical secretary to work closely with the Paediatric administration co-ordinator to provide support and guidance cover cross-site for the Paediatric administration teams ensuring appropriate support is provided to the consultants, specialist nurses and wider Paediatric team.

Main duties of the job

As the Senior Medical Secretary within Paediatrics you will be responsible for undertaking/overseeing the following tasks:

•      Validation – e-track queries/producing Power BI reports

•      Dealing with telephone enquires both internal and external

•      Direct administrative support to Consultants and nurse specialists

• Managing Consultants appointments/Clinic utilisation/Diary management

•      Supervision of band 3 and 2 staff (undertaking MPA’s recording sickness and ensuring mandatory training is up to date)

•      Request/cancel clinics as and when required using Clinicman system

•      Dealing with emails in multiple mailboxes

•      Cover cross-site when necessary

•      Deputise for Band 5 when required

 

You will need to be adaptable and proactive in ensuring the administration for the department runs smoothly and deadlines are met.

Education and Qualifications

Essential criteria
  • Qualified to Level 2/GCSE level or equivalent which includes Maths and English
Desirable criteria
  • RSA II or equivalent typing / word processing qualification
  • NVQ/BTEC Level 2 in Business Administration or Customer Services

Experience

Essential criteria
  • Evidenced significant recent secretarial / admin / office experience
  • Recent experience of Trust IT systems – incl CareFlow, E-track, Scrik / Epro
  • Experience of using Twinkle Diabetes Database
Desirable criteria
  • Proven experience in communicating with senior Trust staff and colleagues and daily direct interaction with members of the public / patients
  • Evidenced significant recent secretarial / admin / office management experience

Knowledge

Desirable criteria
  • Demonstrate evidence of significant experience of customer / patient care relevant to the post
  • Understanding paediatric specific systems producing reports for submission to external agencies

Key Skills/Abilities

Essential criteria
  • Can demonstrate evidence of good standards of written and verbal communication, and daily interaction with colleagues / members of the public at all levels
  • Evidenced excellent organisational skills experience
  • Competent in the use of MS word / outlook
