Job overview

Our Specialist Perinatal Mental Health Team, work with women with severe or complex mental health conditions who are planning pregnancy, pregnant or have a child under one. We provide high quality, evidence-based specialist advice, assessment, and interventions. We are offering an opportunity to support their work.

This exciting role is available for a highly organised, motivated and enthusiastic person. The Band 3 Administrator position is located at City Care Centre, Thorpe Road, Peterborough, PE3 6DB.  The post holder will provide a comprehensive administrative service within their team.

Main duties of the job

The successful candidate will be well organised and able to prioritise work. You will be proactive in solving problems and queries which you will see through to completion. The post holder will need to be calm and patient with an excellent telephone manner and skills to deal with sometimes complex and difficult issues. You will have good IT skills and experience in a busy office environment.

The ideal candidate will have a strong team work ethic, sense of accountability, accompanied by an ability to work under considerable pressure at times. This post is open to professionals with the right attributes to enhance a team.

Detailed job description and main responsibilities

Please refer to the attached job description and person specification for full details of responsibilities.

1. Word processing of all forms of correspondence, reports and summaries that are required by the team.

2. Undertake diary management for clinicians and/or managers, as required.

3. Organise clinics and associated appointments for clinics, using appropriate brought forward systems to manage work.

4. Provide operational support to colleagues, and supervision of Band 2 administration staff within the team, if required, as directed by Line Manager.

5. Inputting and updating service user information and service user/team activity on computerised information systems, creating service user notes where necessary and according to policy.

6. Maintain filing in both paper and electronic records, ensuring that it is kept up to date at all times. In accordance with Trust procedures, track and receive notes in a timely manner.

7. Ensure good customer service by providing a professional and effective telephone service, taking accurate messages and providing information and signposting as requested and appropriate.

Person specification

Education / Qualifications

Essential criteria
  • Educated to GCE/GCSE standard.
  • RSA Stage II/NVQ Level 2 in Administration or equivalent.
  • Good command of written English.

Experience

Essential criteria
  • Experience of working in a busy and demanding office/customer facing environment.
  • Experience of planning and organising own workload and of staff within own span of control.
  • Experience of supporting a multi-disciplinary team.
Desirable criteria
  • Previous experience of working in an NHS Office environment.

Skills & Abilities

Essential criteria
  • Excellent standard of typing/audio skills (50wpm)
  • Good IT skills (MS Office).
  • Excellent telephone manner.
  • Ability to work on own initiative.
  • Ability to work as part of a team.

Knowledge & Understanding

Essential criteria
  • Knowledge of Data Protection Act
  • Clear understanding of confidentiality and the importance of maintaining confidentiality for patients.
Desirable criteria
  • Knowledge of medical terminology.
