An exciting opportunity has arisen to join our North Admin Hub as an Administrator supporting the Speech and Language team and Clinical Staff.

The successful candidate will provide an efficient and effective administrative support service within the admin hub, supporting other administrators, the senior administrator, and the Hub Lead.

You will be experienced in supporting SALT service with processing referrals, managing the waiting lists and ensuring prompt and accurate processing of appointments. You will be experienced in dealing with anxious parents and carers and will have a calm and professional telephone manner. You will have experience of dealing discreetly and efficiently with telephone calls and relay messages a per agreed local procedures/ systems. 

You will help support colleagues with knowledge of our Paediatric Therapy Teams and potentially supervise some Band 2 team members.

The post holder will provide a comprehensive administrative service within their team. 

 
  • Creating meeting agendas and taking minutes
  • Typing and sending correspondence
  • Maintaining patient reports and waiting lists
  • Sending and receiving documents to support patients' referrals
  • Helping to arrange to arrange clinics/appointments as patients move through their treatment pathway

The applicant should have excellent written and verbal communication skills and be able to work under occasional pressure.

Word processing of all forms of correspondence, reports and summaries that are required by the team. 

Undertake diary management for clinicians and/or managers, as required.  

Organise team/ward meetings, take, transcribe, and distribute minutes accordingly. 

Organise clinics and associated appointments for clinics, using appropriate brought forward systems to manage work. 

Provide operational support to colleagues, and supervision of Band 2 administration staff within the team, if required, as directed by Line Manager. 

Inputting and updating service user information and service user/team activity on computerised information systems, creating service user notes where necessary and according to policy. 

Maintain filing in both paper and electronic records, ensuring that it is always kept up to date.  In accordance with Trust procedures, track and receive notes in a timely manner. 

Ensure good customer service by providing a professional and effective telephone service, taking accurate messages, and providing information and signposting as requested and appropriate.

Education/Qualifications

  • Educated to GCE/GCSE standard.
  • RSA Stage II/NVQ Level 2 in Administration or equivalent.
  • Good command of written English.

Experience

  • Experience of working in a busy and demanding office/customer facing environment.
  • Experience of planning and organising own workload and of staff within own span of control.
  • Experience of supporting a multi-disciplinary team.

  • Previous experience of working in a NHS Office environment.
  • Experience in using computer programmes including health care IT systems.
  • Lived experience of mental health.
