We are currently looking to recruit an enthusiastic and motivated Senior Ward Administrator to join our Older People and Adult Community (OPAC) Administration Team supporting the Maples Ward, Crisis Resolution Home Treatment Teams and ECT at The Cavell Centre, Peterborough. The ideal candidate will have a strong team work ethic, sense of accountability, accompanied by an ability to work under considerable pressure at times.

Main duties of the job

The postholder will be responsible for :

  • Providing efficient, effective and timely administrative support for the Matron and Team Leads.
  • Excellent communication and customer service skills are required.
  • Supervise a team of administrators and take operational responsibility for them and for the allocation of workloads.

Detailed job description and main responsibilities

Please note for this role you will be required to travel independently around the county meeting strict time deadlines. You will need to hold a full UK driving licence* and have use of a vehicle. You cannot use public transport for this role as this is not a reliable form of transport and will not allow you to meet service needs. Please confirm in your application that you meet the specified criteria.

  • Supervise a team of administrative staff including undertaking appraisals, supervision, training and development of the Band 3 staff.
  • Arrange and attend meetings, including booking venues and hospitality if appropriate. To prepare and produce an agenda, collate and distribute all necessary information and documentation, take minutes and action notes as required.  Ensure all minutes are issued in a timely manner and ensure agreed actions are appropriately recorded.
  • Work with the Management Team in the development and implementation of Standard Operating Procedures and Work Manuals.
  • Support Managers and Clinical staff with all aspects of the recruitment of staff in-line with the process of using Trac.  To ensure that newly appointed staff undergo their local Trust Induction.
  • To support Clinical staff with the Eroster and allocations of staffing.

Person specification

Education/Qualifications

Essential criteria
  • Educated to GCSE or equivalent level of experience
  • RSA/OCR stage III/NVQ Level 3 in Business Administration or equivalent level of experience.
  • High standard of written English.
Desirable criteria
  • Evidence of training in leadership and management skills

Experience

Essential criteria
  • Significant experience in secretarial /administrative position
  • Knowledge of staff supervision and management
  • Demonstrate ability to contribute towards service improvement
  • Experience of dealing with confidential and sensitive data and appropriate maintenance
Desirable criteria
  • Secretarial/administrative experience in the NHS within clinical and/or corporate services

Skills and Abilities

Essential criteria
  • Excellent communication skills and ability to adopt appropriately both verbally and written including IT literacy (MS office and web-based).
  • Excellent customer care skills
  • Able to work with high degree of flexibility
  • Ability to manage team workload, delegate and coach/train staff team(s) effectively
  • Ability to work under occasional pressure/stress
Desirable criteria
  • Understanding of HR policies and procedures
  • Knowledge of General Data Protection Regulations.
  • Knowledge of SystmOne
