Job overview

An exciting opportunity has arisen within the Cancer Services Admin Team.   We are looking to recruit an enthusiastic and motivated individual to join our small but very busy and dedicated Admin Team. 

The successful candidate will provide administrative support to Consultants and their medical team within the Department and also ensuring the provision of an effective service.

Main duties of the job

The post holder will be responsible in the delivery of an efficient and effective service within the Haematology & Oncology Outpatient Department and Day Unit (Chemotherapy).  

Liaising with patients and visitors to the Outpatient Department and Day Unit by using ARIA/Chemo Care to book patient’s treatments and follow up outpatient appointments by using Careflow (PAS). 

Collate data via ARIA/Chemo Care and Careflow maintaining the databases.  To participate fully as a member of the team, liaising with members of the public and hospital staff in all areas and adopting a flexible approach. 

The post holder will also provide administrative assistance.

Key Skills

Essential criteria
  • • Able to liaise with Patients, Carers, Visitors, Trust staff at all levels and various external organisations including GP Practices, Police and Prison Services

Essential criteria
  • Be prepared to work across sites as and when required

Education & Qualifications

Essential criteria
  • Qualified to Level 2/GCSE level or equivalent which includes Maths and English
  • NVQ/BTEC Level 2 or Level 3 in Business Administration, Customer Services or recent equivalent experience

Experience

Essential criteria
  • Recent Administrative or Reception experience in a healthcare environment
  • Previous customer services experience within a busy environment working with the general public (telephone and face to face)
  • Experience of using MS Office including excel, word and outlook
  • Demonstrate an understanding of customer care/ability to work with sensitive and confidential information
  • Recent reception experience in a hospital or GP practice
Desirable criteria
  • Experience of using hospital systems including Careflow (PAS), E-track
  • Experience of using a scheduling booking system i.e. ARIA/Chemo Care

Knowledge

Essential criteria
  • Knowledge and understanding of GDPR and Confidentiality
  • Recent knowledge and competent use of Trust IT Systems ie Careflow (PAS), E-track
  • Knowledge or awareness of national and local OP targets including 18 Week RTT and Cancer wait targets.
Desirable criteria
  • Recent knowledge of a scheduling/booking system i.e ARIA/Chemo Care
