First Response Service (FRS) has an exciting opportunity for a senior administrators to join the team.

Are you looking for a role that will allow you to be challenged and be part of an exciting fast paced service? If so we want to hear from you!

The successful candidates will join our current Senior Administrator to form a strong admin group to support the team by providing key day to day admin duties and dealing with with telephone enquiries and referrals from other professionals concerned about those experiencing mental health crisis.

The First Response Service provides 24 hour access to mental health services for people who identify, or have been identified as being in a mental health crisis. It is an all age service.

Support is provided initially over the phone by trained clinicians who are trained in the process of mental health triage and who will attempt to de-escalate the individual’s crisis over the phone and formulate a safety plan for that individual. Dependent on the risk and need identified, a face to face assessment can be arranged and carried out. The team is overseen each shift by a Clinical Lead. The outcome of the telephone triage or face to face assessment is that the patient will be supported, given advice, referred or signposted to appropriate services.

The FRS Administrators play a vital role in the day to day running of this important service to support the clinical team to do the work that they do. The ideal candidate will have a strong team work ethic,  can do attitude, accompanied by an ability to work under pressure at times.

  • Undertake training of all new administrative staff.
  • Allocate and supervise administration tasks delegated to other members of the administration team.
  • Support managers with the recruitment process and ensure that newly appointed staff undergo their local and Trust inductions.
  • Be responsible for organising and controlling own and others workload ensuring deadlines are observed and duties performed efficiently.
  • Work with Line Manager to lead on the introduction and proactive management of any new processes and initiatives.
  • Word process documents as needed by, for example, medical staff, managers and/or a multi-disciplinary team. Typing will be from audio, direct dictation or written text. Some correspondence will be highly confidential and may be of a distressing nature.
  • Provide operational support to colleagues if required, as directed by the manager.
  • To be responsible for dealing with telephone enquiries and other communications with a high degree of tact, diplomacy, and confidentiality. Taking accurate messages and providing information and signposting as requested and appropriate. This will include taking telephone and sometimes email referrals from other services and professionals.
  • Arrange and attend meetings, including booking venues and hospitality if appropriate. To prepare and produce an agenda, collate and distribute all necessary information and documentation, take minutes and action notes as required. Ensure all minutes are issued in a timely manner and ensure agreed actions are appropriately recorded..
  • Ensure confidentiality is maintained at all times and sharing of information is done in accordance with Trust policies and procedures.
  • Maintain filing in both paper and electronic records, ensuring that it is kept up to date at all times. In accordance with Trust procedures, track and receive notes in a timely manner.

  • Educated to GCE/GCSE (A – C grades, one of which must be English) or equivalent.
  • RSA/OCR stage III/NVQ Level 3 in Business Administration or equivalent.
  • Able to demonstrate and evidence continuous professional development.
  • High standard of written English.

  • Evidence of training in leadership and management skills

Experience

  • Significant experience in senior secretarial /administrative position.
  • Experience of staff supervision and management.
  • Demonstrate ability to contribute towards service improvement.
  • Demonstrate awareness of organisational policies and ability to translate into working practice.
  • Organising, attending and taking minutes/notes at senior level meetings.
  • Organising events for staff and wider audiences.
  • Experience of dealing with confidential and sensitive data and appropriate maintenance and storage of records.

  • Secretarial/administrative experience in the NHS within clinical and/or corporate services.
  • Previous experience of NHS clinical and corporate governance processes and statutory frameworksorting a multi-disciplinary team
  • Resource management.
  • Lived experience of mental health.

  • Excellent communication skills and ability to adopt appropriately both verbally and written including IT literacy (MS office and webbased).

  • Ability to prioritise own workload, work to tight timescales and deal with interruptions.
  • Ability to manage team workload, delegate and coach/train staff team(s) effectively.
  • Demonstrate the ability to support / deputise for manager.
  • Professional attitude towards service users and their families.
  • Ability to work under occasional pressure/stress.
