An exciting opportunity has arisen to join our small and friendly team at Cambridgeshire and Peterborough NHS Trust. We are looking for an enthusiastic and motivated individual with excellent interpersonal skills to work as a Receptionist for our Headquarters and Resource Centre.
The Receptionist offers a comprehensive service with a busy and often demanding environment so candidates will need to be confident and adaptable to change.
Main duties of the job
1. Ensure telephones are answered in a timely and helpful manner redirecting calls where necessary.
2. Ensure a professional and effective front of house service is always maintained. Dealing with queries from service users, carers or staff in person or on the telephone, convey messages clearly and precisely and transfer calls as necessary while maintaining confidentiality at all times.
3. Book taxis, couriers and portering services as and when required.
4. Support the issue and regulation of staff ID badges. Create cards, run reports and ensure staff/building security remains paramount.
5. Assist the EPRR/On-call Team with preparation and distribution of the Senior Management on-call rota. Prepare and distribute meeting invitations and weekly resilience call information.
6. Assist the EPRR/On-call Team with new manager onboarding procedures.
7. Liaise with site Duty Practitioners and circulate weekly rota.
8. Oversee room induction emails. Book rooms / portering services where appropriate. Book resources requested for room hire and events.
9. Be responsible for booking out keys. Maintain tracking diary and record log.
10. Assist with MHA Tribunal meetings as and when required, ensuring visitors are provided with equipment and paperwork required for meetings.
11. Oversee key tracker cabinet. Charge alarms and raise maintenance concerns where necessary.

Detailed job description and main responsibilities

- Be the main point of contact for general Estates and Facilities maintenance calls. Report jobs to the appropriate help desk when required.
- Assist with maintaining stocks and supplies, placing orders when necessary and use resources effectively, efficiently and economically.
- Assist and support new members of staff with building inductions. Provide health and safety and security information/training accordingly.
- Ensure Databases are kept up to date. Ensure records are maintained for deliveries received and collected from the building.
- Undertake administrative projects on behalf of the Corporate Office as and when requested.
- Sort and distribute incoming and outgoing post and deliveries. Advise colleagues when items arrive and maintain records of items collected.
- Send out site communications in the event of emergencies / urgent actions required.
- To utilise a variety of software packages to the best advantage in producing accurate documents and presentation material within agreed times limits.
- Review and develop IT skills in relation to the Trust’s IT systems that are necessary to promote the Trust’s corporate image ensuring all skills are kept up-to-date by attending courses when necessary.
- Extensive and competent use of Microsoft Outlook for emails and calendars.

Education/Qualifications
Essential criteria
- Educated to GCE/GCSE standard with Maths and English grade A – C.
- RSA stage II/NVQ Level 2 in Administration or equivalent.
- Good command of written English.
Experience
Essential criteria
- Experience of working in a busy and demanding office/customer facing environment.
- Experience of planning and organising own workload and of staff within own span of control.
- Experience of supporting a multi-disciplinary team
Desirable criteria
- Previous experience of working in an NHS office environment.
Skills and Abilities
Essential criteria
- Excellent customer care skills
- Ability to work under occasional pressure/stress
- Good IT skills (MS office).
- Excellent telephone manner.
- Professional attitude towards service users and their families.
Knowledge / Understanding
