Do you want to be part of an exciting, dynamic and expanding children’s mental health service, in an ‘Outstanding’ rated NHS Trust? We are offering a great opportunity for an experienced administrator to join our Cambridge North and Ely Mental Health Support Teams (MHST).

The ideal candidate will be flexible and willing to offer suggested improvements and new ideas to support the administrative processes within the service.

The Emotional Health and Wellbeing Service continues to grow with team members working across Cambridgeshire, Peterborough and Norfolk, therefore, excellent communication skills and the ability to understand and work with other people is vital.

There can be some flexibility with working hours with a blend of home working and working within the office environment.  All necessary IT equipment will be provided to support this.

Main duties of the job

Our Cambridge North and Ely Mental Health Support Teams work together under one Clinical and Team Lead.  This Mental Health Support Team Administrator role will mainly provide administrative support to our Cambridge North MHST, but will work closely with the Ely MHST Administrator to share joint team tasks.  This will require you to be comfortable carrying out a range of duties, some which may be at short notice. 

You will work alongside our growing administration team to develop new systems and processes and be involved in developing new ways of providing information and support for children and young people. This is an exciting opportunity to be a part of growing, innovative service.

In January 2020, Cambridgeshire Community Services (CCS) NHS Trust launched two MHST’s in Huntingdon and Cambridge. A further eight MHST’s have been launched since then, with two more planned, bringing our total to 12 MHST’s by 2025. We also have 10 MHSTs in Norfolk with one more planned for 2025.

This is in collaboration with NHS England, Health Education England and the Department for Education, following on from the 2017 Green Paper Transforming children and young people’s mental health provision.

This is a roll out of the work to improve access to mental health care for young people set out in the NHS Long Term Plan.You will join a supportive service with a ready support system available. The MHST’s sit within CCS NHS Trusts Emotional Health and Wellbeing Service.

Detailed job description and main responsibilities

The Mental Health Support Team Administrator role will:

Provide administrative support for the MHST, including taking minutes, writing letters, formatting and proofreading clinical letters, booking rooms, organising meetings and assisting with recording staff leave and contractual changes.

Support and manage the patient referral process for the team.

Use our electronic patient management system (SystmOne) to register, process, check, update and discharge patients.

Maintain and update accurate patient records in accordance with standard operating procedures including scanning, filing, and typing.

Implement processes and practices to ensure best practice within your team and the wider service.

Ensure all contact details for the teams are kept up to date.

Produce information and data relating to the services relating to this department, as required.

Answer and direct phone calls and emails.

The Mental Health Support Team Administrator is required to:

Demonstrate excellent IT skills across Microsoft Office applications and attention to detail.

Prioritise their own workload and be organised to meet deadlines and the needs of their team and the wider service.

Work on their own initiative and demonstrate a willingness to help others as a key member of the team. Therefore, the ability to demonstrate empathy and respect for others, build effective relationships, and have a flexible approach to work is essential.

 Demonstrate excellent verbal and written communication skills, with a friendly and professional manner.

Fully understand and work in a manner that recognises the importance of confidentiality and the sensitive nature of the information that is being stored or shared.

You will have opportunities to work alongside our growing administration team to develop new systems and processes and be involved in developing new ways of providing information and support for children and young people. This is an exciting opportunity to be a part of growing, innovative service.

Please note we are recruiting to one 0.5 FTE post.  The post can be based at Brookfields Health Centre in Cambridge or Princess of Wales Hospital in Ely, but there would be an expectation to attend team meetings at both bases a couple of times a month.
