Job overview

We are looking for a motivated, enthusiastic office administrator to join the Discharge team working within Buckinghamshire Healthcare Trust to support the  The team support the discharge of patients with varying needs.

You will work with the discharge co-ordinators in providing administrative support to the team by ensuring data is accurate and reports are sent out daily from the team to Primary Care providers and local authorities , taking and making phone calls to system partners to support hospital flow, be responsible for stock ordering

Please note that the successful candidate will be based within our office in Stoke Mandeville Hospital, but may have to travel to other sites to support the team

Essential requirements are set out in the attached job description. You should be able to demonstrate excellent interpersonal and communication skills, have good time management skills, and be able to prioritise and work on your own initiative as well as part of a team.

Main duties of the job

         ·            To undertake word processing, data input into Excel, the formulation of reports and developing spread sheets to a variety of audiences.

         ·            To understand Discharge pathways and guidance; will involve generating reports to support the operational performance of the Trust and responding to queries from the department’s stakeholders.

         ·            To act as a key point of liaison within the team for nursing staff and other internal/external health professionals.

         ·            A key position fundamental to the delivery of the day to day operation of the ward / unit which his responsible for the delivery of services to patients, within resources available.

         ·            To contribute to the efficient management of the department in order to enhance the experience of patients in the hospital

         ·            General office duties including:

-       Answering telephone calls, taking messages and taking appropriate action as required

-       Processing of referrals

-       Maintaining filing system

-       Maintaining stationery stocks and ordering of other items for department

-       Reporting of broken equipment to appropriate department.

-       Use of email

-       Photocopying

EDUCATION, QUALIFICATIONS

Essential criteria
  • GCSE Grade C, or above/equivalent in English Language and Mathematics
  • Word to intermediate standard PowerPoint Excel Database management

EXPERIENCE

Essential criteria
  • Experience of working within The NHS, Private Sector or Local Authority
  • Experience of working in an environment dealing with highly confidential data
  • Evidence of good problem solving skills; ability to think laterally and creatively under pressure.

SKILLS, ABILITIES & KNOWLEDGE

Essential criteria
  • Clear and concise communication skills both orally and in writing
  • Ability to work on own initiative and as part of a team
Desirable criteria
  • Knowledge of Data Protection Act, 1998 and other Trust Policies and Procedures
  • Basic knowledge of medical and Discharge terminology

  • Knowledge of Trust Information System
