Job overview

To undertake various administrative/clerical duties associated with the reception function of the Physiotherapy & Occupational Therapy Services Department.  This is to include all administrative procedures and documentation associated with the patient’s attendance to the Physiotherapy & Occupational Therapy Services Department as outlined in the Patient Access Policy.

To provide a patient focused reception service, ensuring that the service is efficient and welcoming. To overcome language barriers wherever possible using available resources as necessary e.g. interpreters, ensuring that all patients are dealt with in a courteous manner.

To accurately input, update and monitor patient related information onto the computerised electronic system.

To register referrals onto the electronic system making, changing and cancelling Patients’ appointments.

To prepare Physiotherapy & Occupational Therapy Services’ treatment notes for initial attendances.

To be responsible for the security of case notes in the department

To process telephone calls and enquiries and take appropriate action.

To arrange transport for patients if required.

Detailed job description and main responsibilities

To provide a patient focused reception service, ensuring that the service is efficient and welcoming. To overcome language barriers wherever possible using available resources as necessary e.g. interpreters, ensuring that all patients are dealt with in a courteous manner.

To register referrals onto the electronic system making, changing and cancelling Patients’ appointments. 

To prepare Physiotherapy & Occupational Therapy Services’ treatment notes for initial attendances. 

To be responsible for the security of case notes in the department.

To process telephone calls and enquiries and take appropriate action.

To arrange transport for patients if required.

To file patient treatment cards accurately and to retrieve as required.

To amalgamate Physiotherapy & Occupational Therapy Services’ treatment notes where more than one record exists and to ensure that all treatment notes are filed in the recognised format.

To respond in a professional and sensitive manner when dealing with confidential issues. 

To send discharge summaries to referrers for patients who do not attend or following discharge from the Service if required.

To assist with the training of newly recruited A&C staff and work experience staff.

To be aware of the security arrangements in your own working area.

To work closely with Administrative & Clerical staff to ensure that essential work is completed during colleagues’ periods of absence.

To attend mandatory training sessions and undergo training as required and to keep a record of ongoing continued development.                                                   

To participate in the appraisal system as an appraisee and be responsible for complying with the agreed Personal Development Plan.

To maintain a record of learning with support as necessary.

Actively participate in own staff development and review in order to identify personal development plans and training needs.

    To be familiar with and comply with all Departmental and Trust     policies, procedures and practices.

At all times to behave in a professional and responsible manner.

To assist with audits in collecting and presenting data for reports.

To be responsible for the timely processing of all incoming and outgoing mail.

Qualifications

Essential criteria
  • Min of 4 GCSE to include Maths and English
  • Recent Office Experience within the last 2 years.
  • MS Office Packages including Email and Excel
Desirable criteria
  • NHS Experience in an Office environment
  • PAS Trained
