We are looking for an organized, self-motivated, pro-active, problem solving individual who takes pride in their work. Someone who has practical audit experience in a customer facing service industry.

 

Main duties of the job

Role Purpose:

Responsible for managing and leading on PLACE Assessments

Responsible for the monitoring and conducting audits of all areas of Soft FM for the Trusts PFI contract. 

Coordinate and participate in the conduct of audits of all aspects of the Soft FM services to ensure standards are accurately measured, rectification actions recorded, and where appropriate, deliver constructive feedback to Senior Management, Trust and PFI partners to support them in attaining the required national and/or regulatory standards. Contributes to cross site support to enable co-operation within and amongst teams.

An exciting opportunity has arisen to work within the North PFI Estates & Facilities Department who is looking to appoint a Facilities Monitoring Officer working alongside the Soft FM Contracting Team.

The post holder will support with monitoring the Soft FM Services including (but not limited to) Domestic Services, Catering, Linen and Laundry, Pest Control and Security through audits and data analysis.

The post holder will also carry out a range of office/clerical duties to support the North PFI Team, including minute taking, diary management and data collection for the monthly reports.

The post will be based at Venture House, Edrington but will require travel to our other Trusts sites.

At SSL, we work in partnership with Birmingham and Solihull Mental Health Foundation Trust (BSMHFT), to deliver facilities management, transport and other support services to over 50 sites across the West Midlands.  Our team keeps expanding and since our establishment, in 2012, we have grown rapidly though the acquisition of new sites and services. 

Detailed job description and main responsibilities

Principle Duties and Responsibilities

 Quality Monitoring

·       Arrange and carry out scheduled and ad hoc quality monitoring audits across a range of Soft FM Services including but not limited to Cleaning, Catering, Pest control, Window Cleaning and Security.

·       Responsible for developing, setting up, operating, and reviewing contract management and cleaning monitoring systems. Point of contact for PFI Service provider.

·       Responsible for the KPI monitoring of the PFI agreement for the Soft FM services and associated performance calculations relating to the PFI contract.

·       Responsible for the administration of contract management and cleaning monitoring systems and associated operational protocols. Point of contact for the monitoring system, dealings all issues, queries, and training for PFI partners and the wider E&F team.

·       Responsible for escalated queries from other team members/Clinical teams that require resolution due to their complexity.

·       Lead for the team in the quick and successful resolution of audit conduct queries. Ensuring all complaints are entered into the PFI Partners helpdesk systems.

·       Responsible for co-ordinating responses to internal and external audits and associated action plans and ensuring recommendations are implemented and maintained.

Training and Qualifications

Essential criteria
  • Degree/professionally qualified, HNC or equivalent (Facilities Management)
  • Level 4 – Facilities Management (BIFM)
  • Food Safety Level 3
  • Previous experience of working in Soft Facilities in a healthcare environment.
  • Demonstratable experience in service delivery of domestic and catering service (HACCP, COSHH)
  • Significant experience in managing and monitoring service contracts
  • Proven successful track record of managing PFI
  • Proven successful track record of innovation and managing and delivering strategic and operational change that has improved service quality and cost.
  • Leadership skills.
  • Demonstrable experience in report writing for senior management use.
  • Demonstrable communication and presentational Skills.
  • Skilled negotiator, arbitrator and mediator. Proven track record of successful contract negotiations with contractors Demonstrable experience in effective application and use of complex computerised software packages
  • Skilled in evaluating and presenting complex information using a variety of formats e.g. Excel.
  • Awareness of the needs of mental health clients
Desirable criteria
  • Level 5 – Facilities Management (BIFM)
  • Food Safety Level 4
  • Cleaning Auditing
  • Bics Licence to Practice
  • Theory of Cleaning inspections
  • Membership of a recognised chartered institution or professional association/ body
  • Knowledge of PFI Contracts in other NHS Trusts
  • Experience of working on sites with people who suffer Mental Health related problems.
