Job overview

Medical Support Secretary - Stroke & Elderly Care (30 hours P/W)

To provide a quality administrative/ secretarial service to the Stroke team and other Directorate Teams as required.

To undertake accurate audio/ copy typing of medical correspondence for the Consultants. This will include highly sensitive and complex medical terminology with a need for confidentiality.  To work collaboratively and support other medical secretarial colleagues to ensure clinical correspondence is produced and distributed within acceptable timescales. The post holder will  carry out their duties in such a way as to make a direct and positive contribution to the organisation of the work.

It is essential that the post holder should exercise initiate commensurate with the role and that confidentiality be maintained at all times. 

Main duties of the job

Receipt, circulation and dispatch of post, taking action where appropriate by obtaining medical records, other associated documentation. 

Deal with new referral letters and action as appropriate by ensuring that these are correctly processed via the appropriate channels, i.e., Outpatient booking team, in accordance with triaging by the Consultant. 

Assist in the rearrangement of clinical activity (outpatient clinics, ward visits) when the consultant or other member of his/her team arranges leave, by liaising with appropriate members of staff with the Trust.

Prioritise workload independently, identifying urgency, highlighting problems and taking appropriate action to prevent or solve problems without supervision.

Person specification

Qualifications & Education

Essential criteria
  • GCSE or equivalent in English and Maths - grade C or above
Desirable criteria
  • Typing and word processing skills to RSA II or equivalent
  • Business administration NVQ level 2 or equivalent experience in a clerical environment

Knowledge and Training

Essential criteria
  • Proficient in the use of Microsoft Office programmes (i.e. Word & Outlook, Excel and Electronic diaries). Proficient in developing and maintaining clinical database systems
Desirable criteria
  • Recent NHS experience and knowledge of Medical Terminology
  • Accurate audio/ copy typing
  • Experience of preparing minutes and reports

Communication & Relationship Skills

Essential criteria
  • Good organisational skill
  • Willing to undertake training to meet the requirements of the role, in an ever-changing NHS
  • Able
