Job overview

Urgent Care at BCH are looking for the right individual to join their team as a Band 5 Operational Support Manager (OSM). This is the perfect opportunity for an engaged and enthusiastic candidate to take their next career step into operational management and leadership.

You will play a vital role in the smooth delivery of the General Paediatrics service and Emergency Department.

Main duties of the job

  • To manage Medical Secretarial staff to ensure the efficient, effective medical secretarial support is provided to the relevant clinical specialty on a daily basis.
  • To support Medical Secretaries in the conduct of their role; co-ordinating training & development, and promoting career progression.
  • To ensure the adoption of administrative best practice, especially in respect of waiting list / patient access targets.
  • To encourage a culture of communication and promote the concept of effective team-working within the group. 
  • Medical secretary awareness & compliance with relevant Trust policies
  • To ensure the provision of full medical secretarial support to Consultants within the relevant specialty.

Detailed job description and main responsibilities

  • Regular contact takes place individually and with the team to ensure staff are kept informed of departmental matters and a culture of team-working is achieved.
  • All secretaries within the team receive ongoing performance management, appraisal and individual support.
  • Work with Service Manager to ensure that there is secretarial cover for vacancies, sickness absence, maternity and annual leave etc.
  • Medical Secretarial staff within the team have each produced a Procedure Manual so that appropriate information is available for covering staff.
  • Sickness absence for the group is monitored in accordance with the Trust’s Sickness Absence Policy and regular reporting to the Service Manager is provided.
  • To ensure the Flexitime Policy is maintained and recommended guidelines for flexitime are operated appropriately for the group of staff.
  • Ensure that the medical secretarial team are aware of personnel policies / relevant Trust policies.
  • Ensure staff within the specialty Medical Secretarial team regularly attend the meetings with the OSM and Service Manager concerning Trust issues; promoting a culture of effective communication and a sound awareness of the relevant Trust, Directorate and speciality priorities & developments.
  • To work closely with Service Manager, The Medical Secretarial Professional Lead and Medical Secretary OSM colleagues to ensure new policies, training, agreed working practices and audit are implemented on a timely basis and in line with other Patient Administration Departments within the Trust.
  • The equipment / working environment needs of the medical secretarial team are identified and provided as appropriate, in liaison with the Service Manager.
  • To deputise for the Service Manager as required – engaging in personal development / training to be able to deputise effectively.
  • To support Service Managers in pursuing the Directorate’s patient access agenda and in achieving waiting list access targets.
  • To perform Medical Secretarial duties alongside the management functions described above.
  • Identify and report any health and safety issues to the Service Manager.
  • Any other duties as may be deemed appropriate in consultation with the post holder and the Service Manager.

Qualifications

Essential criteria
  • Evidence of continued professional development (CPD)
  • Medical terminology
  • RSA/OCR Stage II or III
  • Knowledge and experience of software packages, Word, Access, Excel, PowerPoint.
Desirable criteria
  • Diploma or equivalent qualifications.

Experience

Essential criteria
  • Proven medical secretarial skills and experience.
  • NHS background.
Desirable criteria
  • Basic team leadership/supervision certificate.
  • Previous experience in staff management or evidence of ability to deal effectively with people.
