The West Midlands Rehabilitation Centre (WMRC) provides a range of services for people in the West Midlands to assist them in managing their disabilities. The Service is for people with physical, cognitive, emotional and social disabilities. All our services are provided by teams of clinical professionals and support staff who aim to provide integrated services in ways that best meet the needs of patients and their carers.
The post holder will provide comprehensive administrative support to the departments within the Rehabilitation Services.
To work as part of a team to carry out administrative duties on a day to day basis. This may include covering essential and appropriate operational duties in the absence of colleagues and some supervisory duties. This post may include training of other staff members and knowledge transfer.
Main duties of the job
· Co-ordinate and book patient appointments.
· Ensure clinics or available appointment slots are fully utilised as far as possible within the remit of the role, ensuring any issues are escalated through the appropriate channels.
To ensure administration processes support the patient pathway. Ensure any appointment/equipment delays for the patient are investigated, resolved and any issues are escalated to appropriate staff.
To timely and accurately record identified on the agreed information systems ensuring procedures are followed and standards are met. This will include:
Ø Registering patients, referrals, waiting list additions/removals, admissions appointments, appointment outcomes, raising equipment orders, discharges, etc.
Ø Inputting documented clinical outcome measures and patient conditions/diagnosis.
Ø Feedback questionnaires
Ø Creating and updating staff records; including training records.
· On a day-to-day basis as needed retrieve and file clinical records or documents ensuring clinic record tracing/filing procedures are followed. This may include tracing records that are located in other departments.
Maintain department manual and electronic filing systems, ensuring systems are regularly maintained and archiving is completed to standing operating procedures and Trust policies.

Qualifications
Essential criteria
- • GCSE level or equivalent in Maths and English
- • NVQ 3 in administration or equivalent experience
Experience

- • Relevant experience in a similar administrative support role
- • Experience of using word processing packages – (Word/Excel/PowerPoint/Outlook)
- • Relevant experience of maintaining office systems, including filing, ordering and recording information
- • Experience of co-ordinating diaries and arranging meetings
Skills/Knowledge

- • Proven skill to create, populate and monitor databases/ spreadsheets
